Opus Virtual Offices is Hiring a First Impressions Coordinator / Administrative Assistant Near Chicago, IL

Opus Virtual Offices, Chicago, seeks candidates for our onsite First Impressions Coordinatorposition. The ideal candidate will have a pleasant demeanor and professional appearance. In this role, you will be the first person that staff, clients, and visitors see as they enter our office, so it is essential to create a welcoming atmosphere. You will also complete receptionist tasks, such as answering phones, preparing outgoing mail, and assisting with office calendaring. While some postsecondary education is a plus, we prefer candidates with administrative or clerical experience. Once you become familiar with our needs and client base, you may be asked to help us manage our social media platforms.


Summary of Essential Job Functions

  • Answers, screens, and directs calls on a multi-line phone system courteously and professionally; takes messages and forwards telephone calls.
  • Clears messages each morning
  • Meets and greets all visitors; determines their needs
  • Responds to visitors, clients, and employees courteously and professionally.
  • Opens and routes incoming mail.
  • Prepares and forwards outgoing mail and packages.
  • Composes and types routine correspondence as required.
  • Performs general clerical duties including but not limited to filing, photocopying, faxing, and mailing as required.
  • Organizes and maintains file system, files correspondence, and other records.
  • Orders and maintains supplies, arranges for equipment maintenance and keeps reception area organized.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Performs other related duties as assigned by management.


Minimum Qualifications / Requirements

  • Associate degree (A.A.), two to four years related experience, or equivalent combination of education and experience.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Products
  • Strong interpersonal skills.
  • Ability to understand and follow written and verbal instructions
  • Ability to deal effectively with a diversity of individuals at all organizational levels
  • Strong organizational skills; able to manage priorities and workflow.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • Professional appearance and demeanor
  • Ability to perform diversified clerical functions and basic accounting procedures.
