Assistant Office Manager with Human Resource Experience
About the Position:
The Assistant Manager supports HR & operational goals, working closely with management. The candidate must have a strong foundation in HR, operations, business administration, project management, and/or property management. Direct leadership and/or supervisory experience is required.
The available position is ideal for someone who has strong leadership and problem-solving skills with excellent attention to detail. If you thrive on helping to create and maintain structure and organization, this opportunity is a uniquely good fit. The position is also well-suited for those who enjoy diversity in their day/week in terms of projects, goals, and responsibilities. The position offers the opportunity to lead and collaborate on diverse projects, therefore, efficiency in executing action items and maintaining project and practice momentum are critical. Since this position is to directly support the HR & Operation functions, self-awareness and excellent communication and interpersonal skills are essential. Familiarity with HR laws is required.

Position Responsibilities:
  • Standard HR responsibilities.
  • Support leadership team, as directed, to ensure that Practice goals and objectives are accomplished and that operations run efficiently.
  • Maintain and refine internal processes that support leadership team.
  • Coordinate internal and external resources to expedite workflows.
  • Coordinate communication when liaising with leadership team on various projects, tasks, and objectives.
  • Plan and orchestrate work to ensure that leadership teams’ priorities are met, organizational goals are achieved, and best practices are upheld.
  • Manage the calendars and schedules of leadership team, including arranging and coordinating appointments, meetings, and travel arrangements.
  • Prepare reports, presentations, and other documents for leadership team.
  • Conduct research and gather information as needed for executive decision-making.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Assist in the planning and execution of company events and meetings.
Position Qualifications & Experience:
  • Leadership experience required (i.e., (HR; Management; Operations).
  • Experience in health administration and working in a medical practice or related industry strongly preferred.
  • Exceptional organizational skills with natural ability to triage & prioritize action items. 
  • Action oriented self-starter with strong problem-solving skills.
  • Great independent judgment & intuition with high attention to small details.
  • Strong time management skills.
  • Excellent communication and interpersonal skills.
  • Must tech intuitive & proficient for a nearly paperless office:
    • Tech platforms include google workspace; EMR; CMR, Microsoft Office, & others.
  • Position is FT but willing to consider PT option.
