Onshore Construction and Development is Hiring an Accounts Payable Specialist Near Jupiter, FL
Job Overview:
We are seeking an experienced and detail-oriented Accounts Payable Specialist to join our team. As an Accounts Payable Specialist, you will be responsible for accurately processing and recording all accounts payable transactions. This plays a vital role within our organization, ensuring that all financial obligations are met in a timely manner.
Duties:
- Review of incoming vendor invoices for accuracy, completeness, and conformance with Onshore requirements
- Distribute invoices to project managers (PM), review posted invoices, and investigate coding errors. Communicate with PM regarding posting errors
- Resolve disputed invoices with vendor and/or PM
- Confirm subcontractor paperwork is up-to-date, including W-9s and Certificates of Insurance
- Create Set to Pay reports and pay vendors
- Ensure subcontractor/supplier Waivers of Lien are received and correct
- Record Notice to Owner (NTOs) in NTO log
- Routinely follow up on vendor checks that have not been picked up
- Perform Friday Set-to-Pay procedure
- Review and address aging open payables
- Notify the accounting supervisor of aging payables
- Reconcile the Home Depot Statement
- Manage a virtual credit card account; handle new virtual card and payment requests
- Void checks in Sage and process stop payment, if applicable
- Set up new vendors in SAGE and myCOI. Ensure vendor is compliant with Onshore COI’s requirements and master subcontract
- Oversee the reconciliation of monthly vendor statements
- Create and distribute 1099 report at year end
- Serve as back up to receptionist
- Perform notary duties as needed
- Assist with Account Receivable duties when needed
Qualifications:
- Bachelor's degree in Accounting or related field preferred
- 2 years of experience in accounts payable or related role
- Excellent attention to detail and accuracy
- Strong organizational and time management skills
- Ability to work independently and prioritize tasks effectively
Job Type: Full-time
Pay: $23.00 - $25.00 per hour
Expected hours: No less than 40.00 per week
