*Job Title: Aquafinity Accounts Payable Specialist**

Overview:
As an Accounts Payable Specialist at Aquafinity, you'll play a crucial role in ensuring accurate and timely processing of financial transactions related to vendor payments. You'll be responsible for maintaining vendor accounts, processing invoices, reconciling discrepancies, and supporting the finance team in various tasks related to accounts payable.

Key Responsibilities:

1. Invoice Processing:
- Receive and review invoices from vendors for accuracy, completeness, and compliance with company policies.
- Code invoices with appropriate general ledger account codes and obtain necessary approvals for payment.

2. Payment Processing:
- Process vendor payments via check, ACH, wire transfer, or other approved payment methods in a timely manner.
- Ensure accurate and timely recording of payments in the accounting system.
- Monitor payment terms and take advantage of discounts when applicable.

3. Vendor Management:
- Maintain vendor files and documentation, including W-9 forms, contracts, and correspondence.
- Respond to vendor inquiries regarding payment status, discrepancies, and other related matters.
- Build and maintain positive relationships with vendors to facilitate smooth transactions.

4. Reconciliation and Reporting:
- Reconcile vendor statements to ensure all invoices are accounted for and discrepancies are resolved promptly.
- Prepare monthly reconciliations and reports to support financial close processes.
- Assist with month-end and year-end closing activities as needed.

5. Compliance and Documentation:
- Ensure compliance with company policies, accounting principles, and regulatory requirements.
- Maintain accurate and organized records of accounts payable transactions for audit purposes.
- Assist with internal and external audits by providing requested documentation and support.

6. Process Improvement:
- Identify opportunities for process improvements to enhance efficiency, accuracy, and internal controls within the accounts payable function.
- Collaborate with cross-functional teams to implement changes and streamline workflows.

Qualifications:

- Bachelor's degree in Accounting, Finance, or related field preferred.
- Proven experience as an accounts payable clerk or specialist, preferably in a manufacturing or distribution environment.
- Strong understanding of accounting principles and practices.
- Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Excel.
- Excellent attention to detail and accuracy in data entry and analysis.
- Effective communication skills, both written and verbal.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong analytical and problem-solving skills.
- Knowledge of relevant laws, regulations, and compliance requirements (e.g., IRS regulations, 1099 reporting) is a plus.
