The Executive Assistant and Office Coordinator will be responsible for managing the day-to-day operations of the Los Angeles office, as well as providing support to a single executive and other office staff. This individual will be responsible for coordinating meetings, managing calendars and conference room calendars, coordinating and booking travel, and handling a wide range of administrative tasks. In addition, the Executive Assistant and Office Coordinator will be responsible for managing office supplies, overseeing the maintenance of office equipment, assisting with the setup and operation of conferencing technology, and ensuring that the office runs smoothly. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate will have previous experience in an executive assistant or office manager role and be comfortable working independently as well as part of a team.
This position will be supporting our Los Angeles Studio and requires being in the office multiple days per week. This position will be part of a larger administrative team that is concentrated in our Philadelphia studio, and will work quasi-independently supporting the office and the executive, as well as providing administrative support for executives, staff and guests visiting the Los Angeles Studio and additional remote support for the Philadelphia office administrative team.
Depending on the skillsets of the candidate, additional tasks could include assisting with project accounting and contracts, information technology as a liaison between LA and Philadelphia staff members, and assist in marketing or promotional activities.
Key Responsibilities:
-Manage the day-to-day operations of the satellite office, including coordinating meetings, managing calendars, and handling a wide range of administrative tasks
-Provide support to a single executive, including managing schedules, coordinating travel, and handling correspondence
- Oversee the maintenance of office equipment, including computers, printers, and copiers
-Manage office supplies and ensure that the office is stocked with necessary supplies
-Act as the primary point of contact for vendors and service providers, including managing
contracts and negotiating service agreements
- Assist with budget tracking and expense management for the LA Studio
-Provide support with creating and formatting documents, presentations, and reports
-Plan and coordinate company events and meetings as needed
-Perform other administrative duties as assigned
Skills:
-Strong organizational and time management skills and a self-starter
- Excellent verbal and written communication and interpersonal skills
-Proficiency in Microsoft Office, Excel, and other office software and technology
-Ability to multitask and prioritize tasks effectively
-Ability to work independently and take initiative
-Professional demeanor and appearance
-Previous experience as an executive assistant or office manager is preferred

Pay: $50,000.00 - $65,000.00 per hour
