Nzilani Glass Conservation, Inc. is Hiring a Project Manager Near Oakland, CA

THE COMPANY

Nzilani focuses on preserving historic leaded art glass windows, lamps and objects, as well as fabricating new architectural art glass. Jobs range in size from simple, residential windows; to monumental stained glass in historic settings and art pieces from private collections and museums. The team comes from a variety of backgrounds, but is united in its dedication to quality, art preservation and attention to detail. Our work is most fulfilling when at the intersection of equity, preservation and art. We do this by empowering collaborative partners by sharing processes, health and safety procedures and the importance of preserving cultural landscapes and the environment.

JOB DESCRIPTION

Our goal is to provide job opportunities for people who are driven but may not have had the chance to work directly in a conservation/preservation setting, due to challenges of intentional or unconscious bias. Candidates for this role will participate in creating a positive, productive, and healthy workplace (physically and mentally). They should be curious about all aspects of stained-glass preservation and art glass creation; while focusing on supporting the Nzilani team, clients, and projects by managing efforts to maximize efficiency. Success will be measured by your contributions to maintain or improve efforts of production, service and outreach. Helping us visualize and implement new paths for client/project-based growth as well as effectively deepening ties with community-based partners and outreach are encouraged.

ESSENTIAL RESPONSIBILITIES

The scope of tasks listed below are not exclusive, and may change according to the needs of the company and future (unknown) clients as they arise over the time we work together.

IN THE STUDIO

Opening Studio: In coordination with other managers, the Project Manager will be responsible for opening the studio at 8am, Monday through Friday.

Overall project management and scheduling alongside the Studio Head and President, ensuring contracted work is progressing according to plan.

  • Knowing the project’s scope of work inside and out
  • Creation, upkeep and management of every project within its custom Asana category
  • Maintain associated project documents such as certificates of insurance and others
  • Track project hours, comparing them against the estimate
  • Flagging projects that are at risk of going over the estimate and requiring change orders
  • Relaying project progress and confirming invoicing schedule with accounts receivable

Management of inventory tracking with Studio Head both for the studio & pre/during/post site jobs

  • Checking stock to determine inventory levels, anticipating requirements for projects, placing and expediting orders, verifying receipt, stocking items, delivering supplies to workstations
  • Monitor equipment to maintain operability; complete preventive maintenance and troubleshoot failures

Client Communication toSupport President and Studio Head:

Using verbal and written communication to correspond with clients before, during and after project completion in a timely, firm, yet friendly manner.

  • Initial point of contact for all potential projects - to schedule initial communications and consultations
  • Main point of contact for clients throughout the project
  • provide regular updates and any changes in scope as they occur
  • available for occasional client phone calls, texts or emails outside of working hours that may be needed for successful completion of each project
  • Joint point of contact for clients at final closeout of project - ensure Nzilani’s requirements and expectations are met AND client is happy

ON SITE | Punctuality is imperative

  • Ok with a flexible schedule: some on-site meetings with clients/vendors/subcontractors outside of normal 8am - 6pm studio hours will be required – all will be scheduled.
  • Assist Site Team from studio
  • May require firm reminders of team roles/ job scope to clients while working on site
  • Oversee subcontractor and vendor coordination and relations when needed. At present, 1-2 large projects/year including: contracting, managing expectations and responsibilities, plus final sign off.

QUALIFICATIONS

REQUIRED

  • Three or more year's related project management experience, OR equivalent combination of education and experience.

  • Excellent Multi Tasker & Detail Oriented
  • Ability to independently prioritize and switch gears as needs arise
  • Able to keep multiple schedules (president, team and projects) up to date
  • Ability to read all emails on a daily basis and respond to time-sensitive inquiries within one (1) business day (M-F)
  • Able to keep work area clean and tidy
  • Clean Driving Record will be needed for driving to sites all over the Bay Area in company truck or personal vehicle (a gas stipend for own vehicle will be provided based on the annual per-mile reimbursement rate suggested by the IRS &/or by the California Department of Human Resources)
  • Personal cell phone - compensation for work related use is provided
  • Able to safely lift 30lbs.
  • Provide at least three references (personal &/or professional) that collectively talk about the job requirements

PREFERRED SKILLS

  • Project Management at an architectural preservation company, construction company, architecture firm or arts related business (art moving company, art gallery, etc.)
  • An understanding of construction contracts and Gantt charts
  • Understanding &/or interest in preservation practices
  • Ability to assess, summarize and present official & technical documents to in-house staff clearly
  • Experience with Quickbooks, Squarespace, Calendly, Blurb, Dropbox, and Adobe Creative Cloud
  • Experience with Asana (or other organizational app such as Slack, etc.), Verbal/Writing Skills to type documents, reports and correspondence
  • Assist with task planning and implementation
  • Understanding of nonprofit and business management models

SALARY & BENEFITS

· Compensation is commensurate with experience. Range: $60 - $68k dependent on skills

· Monthly reimbursement for smartphone and mileage use for business related activities.

· Paid Time Off: 40hrs/year

· Medical Coverage: Monthly flexible healthcare savings plan

· Paid Sick Leave: Up to 40 hours or 5 days per year

· 401k Plan: Optional plan with an annual contribution match of up to 4%.
