Job Summary:
Established and reputable Pittsburgh based real-estate development and management company seeking a flexible and motivated person to work as a bookkeeper/office manager/compliance officer/HR professional/executive assistant/entrepreneur. The perfect candidate will be able to comfortably wear multiple hats while having the ability to stay focused and see tasks through to completion. They will be comfortable working with everyone from the CEO to our hourly maintenance workers while having a consistent, positive, team-first attitude!
The perfect candidate will also have 5 or more years of professional experience, above-average technical skills, exceptional organizational skills, comfort with fast-paced and ever-changing environments, and the desire to learn, grow, and to be a part of an amazing and energetic team.
This is an in-person position at our Pittsburgh, PA office. You may have the ability to work from home occasionally on an as-needed basis (less than 10% of the time).
Specific skills required by area:
BOOKKEEPING (50% of a typical day)
· 2 years of experience and a strong working knowledge of Quickbooks Online and transactional accounting
· Ability to record expenses, process APs, reconcile bank transactions, and generate basic financial reports
· Willingness/ability to work with off-site accountants, banks, and other parties to provide requested financial and business information
· Coordinate with a payroll company (ADP) to ensure payroll is properly processed on a weekly basis
OFFICE MANAGER (10% of a typical day)
· Set the example for teamwork, having a positive attitude, and always working with what’s best for the company in mind
· Ensure office utilities are paid/optimal and coordinate office cleaners, facility updates, etc.
· Order supplies, office equipment, furniture, etc.
· Constantly look for ways to do things better, faster, and cheaper
EXECUTATIVE ASSISTANT (20% of a typical day)
· Assist senior managers with data gathering tasks, company scheduling and planning activities, and travel arrangements
COMPLIANACE OFFICER (10% of a typical day)
· Maintain a list of insurance and utility providers to ensure coverage for 100 rental buildings and the company office
· Ensure relevant company business licenses and permits are obtained and current
HUMAN RESOURCES OFFICER (10%)
· Research/resolve issues related to hourly employee’s timesheets
· Research/resolve issues regarding PTO balances/questions
· Receive/record employee feedback, suggestions, complaints, etc. regarding the workplace with a constant eye towards fairness, equality, opportunity, and making the company a great place to work
ENTREPRENEUR (10% of a typical day)
