Position: Office Manager Assistant

Job Type: Part Time

Job Summary: The Office Manager Assistant will oversee the day-to-day administrative operations of our office. The ideal Office Manager Assistant will be a detail-oriented professional with excellent communication and organizational skills. The Office Manager will play a crucial role in ensuring smooth business operations, fostering a positive work environment, and supporting the needs of our team.

Duties/Responsibilities:

· Oversee daily office operations, including managing schedules, appointments, and resources.

· Implement and maintain efficient filing systems, both electronic and physical.

· Act as a liaison between employees and management, facilitating clear communication channels.

· Respond promptly to inquiries and coordinate communication flow within the office.

· Provide administrative support to various teams, including scheduling meetings, preparing documents, and handling logistics.

· Assist in onboarding new employees and facilitating training programs.

· Coordinate office maintenance and repairs, ensuring a clean and comfortable working environment.

· Manage relationships with vendors and service providers.

· Oversee administrative staff and assign tasks based on workload and priorities.

· Conduct performance reviews and provide feedback to support professional development.

· Assist in budget preparation and monitor office expenses.

· Process invoices, track expenditures, and reconcile financial records.

· Plan and coordinate office events, meetings, and conferences.

· Arrange travel, accommodations, and logistics for staff when necessary.

· Oversee office technology infrastructure, including computers, phones, and software tools.

· Troubleshoot basic IT issues or coordinate with IT support.

· Collaborate with HR on personnel matters, including timekeeping, leave requests, and benefits administration.

Required Skills/Abilities:

· Strong organizational and multitasking abilities.

· Excellent written and verbal communication skills.

· Proficiency in MS Office, Quickbooks and office management software.

· Ability to identify challenges and proactively implement effective solutions.

· Flexibility to handle diverse tasks and adapt to changing priorities.

· Maintain confidentiality and uphold a high level of professionalism.

· Ability to work collaboratively with various departments and levels of the organization.

Education & Experience:

· Bachelor’s degree or pursuing bachelor’s degree in business administration, Management, or relative experience to field (preferred).

· Proven experience as an Office Manager assistant or in a similar administrative role.

· Familiarity with office management procedures and basic accounting principles.
