Job Summary:
We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our Association Executive Officer in the 450 member association. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to multitask effectively. This is a full-time position based in our office, with incentives for advancement.
Duties:
- Manage executive calendars, including scheduling meetings and appointments
- Coordinate travel arrangements and itineraries
- Prepare and edit correspondence, reports, and presentations
- Conduct research and compile data for various projects
- Assist with meeting required deadlines as a REALTOR association and follow-up on action items
- Maintain confidential files and records
- Perform general office duties such as answering phone, providing member support, data entry, filing, and photocopying.
- Provide exceptional customer service to current and prospective members regarding joining the association, use of the lockbox system and Multiple Listing Service, education, etc.
- Assist with event planning and coordination as needed
Experience:
- Proven experience as an Executive Assistant or similar role
- Strong computer literacy, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent organizational skills with the ability to prioritize tasks
- Knowledge of office management systems and procedures
- Experience with data entry and record keeping, including Quickbooks, member billing
- Basic knowledge of the real estate industry is a plus, though not required
- Knowledge of using Canva and producing Newletters is also a plus.
- Familiarity with phone systems and etiquette
- Proficiency in using DocuSign or similar electronic signature software is a plus
- Previous experience in developing and maintaining a budget is preferred
