Operations Manager oversees the sourcing, procurement, transportation, distribution, coordination, and overall management of materials in the company and control the flow of incoming materials and outgoing finished products to ensure customers receive products on time and in good condition. The OM manages procurement and project management tasks, inventory control, material handling, customer service, transportation, planning, and coordination of workers. OM will train and evaluate employees, prepare worker schedules, and ensure all workers follow company protocol. OM will prepare reports for upper management team as necessary and solicit feedback where applicable, with an ongoing effort to improve the efficiency of the company’s processes, policies, and procedures. OM will work directly with the Facility & Field Manager to ensure a smooth and orderly process supporting their needs as required. In addition you will work with the company admin to ensure projects have the required paperwork and COIs to proceed on time.
Hours of operation:
Generally between 7am – 4pm, but can vary between 4am – 11pm pending project demands and schedules
Main Duties / Responsibilities: **but not limited to**
- Coordinate with suppliers and vendors to identify lead times and ensure on time deliveries of materials
- Communicate and follow up with Project Managers about specific material needs and delivery schedule
- Communicate and follow up with Facility Manager, Landscaping Manager, Executive Team to ensure operations is meeting daily, weekly, and monthly deadlines and project requirements
- Generate purchase orders for vendors and review sales orders;
- Prepare written reports for management based on labor, materials, equipment and other expenses
- Coordinate with suppliers and vendors to identify costs of the materials needed and negotiate terms or reduced costs.
- Sourcing and pricing materials for projects
- Responsible for RFIs and RFQs, and vendor qualifications.
- Responsible for daily dispatching of delivery team schedule.
- Responsible for reverse logistics of materials
Experience:
Min 5 yrs relevant work experience
Qualifications / Skills:
- Have strong organizational, verbal and written communication skills, maintain written schedules, and update upper management daily
- Strong ability to problem solve and think critically in time sensitive situations
- OSHA 30 Certification and SST 10
- Have strong interpersonal skills to lead and be led when necessary
- Have strong Customer Service skills to meet and exceed expectations, and resolve any discrepancies quickly and efficiently
- Ability to read architectural and engineering plans a plus
- Able to work in a fast-paced environment and have excellent attention to detail
- Experience with MS Word, Excel, Outlook, MS Projects
- Hard working, mature, responsible, punctual, and professional presentation.
- Have a business mindset.
- Be knowledgeable of the construction trade, materials, and tools used a plus.
- Proficient at using Microsoft applications (Word, Excel, and Outlook)
Be able to:
- Manage, organize, and prioritize multiple communications via text, email, and phone.
- Coordinate and delegate task to internal teams.
- Process situations and act decisively to resolve problems effectively.
- Preform any warehousing and delivery duties required at the shop and out in the field.
- Train, develop, motivate, and provide constructive feedback for process improvement to employees.
- Lift 80 lbs.
- Drive commercial van and 14’ – 26’ box truck responsibly.
- Hard working, mature, responsible, punctual, and professional presentation.
Qualifications/ Skills: ***Preferred but not required***
- Know how to navigate Brooklyn and Manhattan via commercial vehicle routes
- General construction knowledge, Basic Math, use of measurement / calculation tools (ie. Measuring tape, calculator), good logistical and navigational sense, safety conscience, and adaptable.
