New Covenant Academy is seeking qualified candidates for a full-time, twelve-month-a-year Executive Administrative Assistant with a start date of July 8. Working hours are 8:00 a.m. to 4:00 p.m. with 1 evening a month to work the board meeting. The individual will work at New Covenant Academy’s Warrior Campus 3304 S. Cox Rd., Springfield, MO. 65807.
JOB SUMMARY
The Executive Administrative Assistant provides high-level administrative support by preparing a variety of written materials and publications for the Executive Team and organizes meetings and activities at the CAO’s request. The Executive Administrative Assistant will interact with all levels of staff, parents, Board members, and others in the community, as well as be exposed to sensitive and confidential material, which makes the ability to be confidential essential. This position also provides administrative support through interactions with the Board of Directors, administration, outside governmental agencies, the public, and news media, as well as exercises a high level of independent judgment and discretion.

This is an hourly position, and pay will vary based on experience and training. Fringe benefits for the full-time 12-month staff include 50% tuition remission for your qualifying child/ren to attend New Covenant Academy. Medical insurance for the employee (available on the first day of the month following or coinciding with the date of hire) with a majority of the basic plan premium paid by NCA. Other cafeteria plan options are available at the employee’s cost.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- ADMINISTRATIVE
- Prepares and types reports, memos, letters, emails, announcements, and other documents using relevant computer software
- Assists in events planning and coordinating events as requested by Executive Leadership
- Reviews NCA correspondence to ensure quality control as directed by Executive Leadership
- Assists in Executive Leadership meeting preparation, scheduling, attending, and recording minutes when requested
- Makes travel arrangements and handles other logistics for conferences and official travel
- Takes phone calls and exercises discretion in handling the call and/or granting access
- Performs general office duties
- Submits expenses on behalf of Executive Leadership
- Assists with data entry into Blackbaud/Financial Edge (FE) for accounts payable as needed
- Assists in recording deposits into Blackbaud/Financial Edge (FE) for accounts payable as needed
- Maintains NCA’s Master Calendar
- Provide support and organization for the accreditation process
- Conduct various research as needed for Executive Leadership and develop reports based on findings
- Provide graphs, trends, and data for Executive Leadership and development office (as needed)
- Collaborate in the writing of narratives and/or summaries of accreditation reports
- Work with various community boards and steering committees
- Administrative support for communications from the Executive Leadership (Internal/External written communications, press releases, emails, formal letters, presentations)
- Assist the development office in the coordination and implementation of hospitality elements as they relate to public relations and development
- Performs other duties as assigned by the Executive Team
- BOARD SECRETARY
- Manage annual stakeholder and Board surveys
- Provide support for Annual Update Reports to NCA’s accrediting agency and Annual Accountability Report (AAR) to the Board of Directors
- Manage records on Board profiles, term expirations, and Board applicant files
- Coordinate communication from the Board to the NCA community
- Compile and distribute Board packets for the school and archive them for historical/audit purposes
- Coordinate and order meals/snacks for Board functions
- Coordinate all aspects of the Board nomination process
- Responsible for getting the Board meeting dates added to the Master Calendar
- Schedule monthly Board planning meetings with the Executive team
- Attend all Board meetings and record minutes
- Assist with Board training preparation
- Update records on Board policies and manuals and ensure that all proposed and final changes are published to the NCA community per policy in a timely fashion
- Performs other Board related duties as assigned by the Board Chairperson

- 5 years of executive assistant and school office experience (D)
- Proficient with Microsoft Office Suite, Google Work Space, Photoshop, and other computer software programs (M)

PHYSICAL REQUIREMENTS
