Neighborhood Health is Hiring a Vaccine Program Manager Near Nashville, TN

Neighborhood Health is an innovative network of community health centers in Nashville and Lebanon Tennessee. We provide comprehensive primary care, integrated behavioral health, and dental services to almost 30,000 patients. Our patients primarily include immigrants, residents of public housing, individuals experiencing homelessness, and persons living with addiction. As a federally qualified health center, we provide care without regard to health insurance or a patient’s ability to pay. We also strive to improve our Patient Centered Medical Home (PCMH) model to ensure all of our patients get the right high-quality care, at the right place, and at the right time.
Neighborhood Health now seeks a Vaccine Program Manager. This full-time employee will coordinate all aspects of our immunization programs and related compliance for said programs including but not limited to: the Vaccines for Children (VFC) program, COVID 19, Influenza, & Adult immunization Program. Reporting to the Clinic Director, this employee may also be involved in a variety of special projects related to preventive health care for both children and adults.

  • Title of Position: Vaccine Program Manager
  • Nature of Position: The Vaccine Program Manager serves as the organization’s Immunization Champion and is responsible for ensuring Neighborhood Health maintains compliance for all vaccination programs and initiatives. This includes but is not limited to: Completing all required program documentation & compliance checks, ensuring completion of mandatory staff training & facilitating program education for employees, conducting regular on site visits to complete quality audits, & participation in required trainings. Flexibility and a collaborative spirit are key attributes of the successful candidate.
  • Qualifications:
    • LPN or RN with 5 years experience
    • Licensed in Tennessee 
    • Thorough knowledge of and experience with Vaccines for Children (VFC) program requirements
    • Demonstrated experience in ambulatory, physician practice, or community health settings
    • Previous experience working with vaccination program and staff education
    • Demonstrated computer skills, with specific experience using an electronic health record software (we use NextGen)
    • Knowledge of privacy requirements of HIPAA and ability to handle and manage confidential information
    • Familiarity with Joint Commission NCQA recognition requirements preferred
    • Demonstrated ability in the following competencies:
      • Excellent verbal and written communication skills
      • Interpersonal savvy with proficiency in developing and building relationships
      • Proven time management and priority setting skills
      • Ability to teach and work with people in a diverse population
      • Ability to speak clearly and to use tact and sensitivity with all patients and staff
      • Ability to deal courteously and efficiently with providers, referral sources and other business representatives. 
  • Essential Job Duties:
Vaccine Ordering:
  • Completes reconciliation of VFC and state funded immunization products as assigned but no less than monthly
  • Follows up appropriately for soon to expire and expired immunizations to minimize the risk of wastage
  • Place immunization orders as assigned
Regulatory Compliance:
  • Ensures all appropriate staff receive and maintain TennIIS credentials
  • Conducts Immunization training for new and existing staff, ensuring competencies around vaccine programs are achieved and mandatory coursework is complete
  • Ensure REVMP and related documentation/equipment remains in full compliance for all Neighborhood Health Sites
  • Facilitates & attends all on site compliance and education visits for VFC and other vaccine programs
  • Conducts regular NH site audits to ensure vaccine product integrity & availability
  • Responds effectively and per protocol to temperature excursions, as well as the need to transfer vaccine off site due to power failure, the need to defrost freezer unit, or other planned or unexpected events
  • Understand and complies with Joint Commission patient safety standards including read-back, repeat orders, abbreviation use, etc.
  • Understand and complies with Neighborhood Health policies
  • Understand and complies with MSDS policies; OSHA’s Blood borne Pathogen Standard and safety measures
  • Understand and complies with infection-control precautions
  • Understand and complies with HIPAA and patient confidentiality standards
Administrative:
  • Ensures all required VFC-related reports are accurately compiled and promptly submitted to the appropriate entity by the required deadline
  • Works to expand VFC and vaccine related program availability by completing enrollment processes at NH sites as assigned
  • Follows up with the VFC program to ensure prompt processing of any submissions and resolution of any outstanding issues including mandated follow up and responses to any sites found out of compliance
  • Implements Vaccine Program training curriculum for all New Hire Clinical Staff as well as facilitating refresher courses and one on one training as assigned
  • Conducts regular quality audits as assigned
  • Works collaboratively with other NH departments to support community outreach, claims and billing, as well as staff training needs
  • Participate in continuing education and staff meetings and committees as requested
  • Coordinates with Clinic Director & Human Resources to onboard all Medical Assistants and medical providers, as well as any training needed subsequent to being on boarded
  • Obtain initial TennIIS Log On information for all Medical Assistants upon completion of mandatory training coursework and perform user maintenance on an ongoing basis
  • Maintains excellent working relationships with VFC and other state/federal vaccine program personnel
  • The Vaccine program coordinator also provides operational support to the Clinic Director and will assume responsibility for other duties as assigned.

Physical Requirements:
Work is varied in nature and is performed with frequent interruptions. Work requires close attention to detail, accuracy, documentation and timeliness in fulfilling duties and reports. Work requires sitting, standing, and/or walking for periods of five hours or more, moving and examining objects at high and low reach, and reading for extended periods.
