The Events Manager is under the Events Department of the Chamber and reports to the Director of Events. The Events Manager is responsible for supporting the planning and execution of all Chamber events. This position will serve as a lead role on assigned events and support role including logistics, vendor management, production, and end-to-end event planning and execution.
The Chamber’s broad portfolio of events highlight our year-round work and impact in the region to include fundraising events, community-centered networking events and conferences, and strategic partner stewardship and engagement events.
The Events Manager should have a passion for creating innovative and engaging event experiences that exceed the expectations of our participants and sponsors; exemplify strong project management skills and attention to detail; and enjoy a team environment and collaboration with a broad range of internal and external partners.
Responsibilities:
· Lead end-to-end planning, management, and execution of assigned portfolio of Chamber events ensuring exceptional quality and seamless experience for attendees
· Manage all event logistics including venue selection, audio visual, catering, run of show, production
· Research, negotiate with and manage relationships with various vendors including venues, caterers, hotels, airlines, production companies and suppliers
· Develop comprehensive timelines and utilize project management tools to organize tasks, projects and deadlines
· Oversee registration process of assigned events
· Create staffing assignments and logistics documents for both internal and external stakeholders
· Create sponsorship decks outlining the benefits of sponsor packages and coordinate with sponsors to ensure fulfillment of their deliverables
· Coordinate with speakers, elected officials and honorees by managing communication, scheduling prep calls and providing event materials
· Manage assigned event budgets including revenue projections, expense tracking, and post-event reconciliation
· Oversee hotel room blocks, airline travel and ground transportation as needed
· Support with on-site event set up including signage, check-in, and event giveaways
· Assist with drafting, proofing, and reviewing marketing materials including promotional materials, signage, PowerPoint slides, etc.
· Host in-person and virtual pre-con meetings and organization-wide trainings as it relates to events, staffing, department processes and guidelines
· Collaborate with all departments within the organization to deliver exceptional events
· Demonstrates a commitment to the Chamber’s mission, vision and values
· Performs other duties as assigned
Requirements
· Bachelor’s degree
· 3-4 years of experience in managing events
· Strong project management, leadership, interpersonal and negotiation skills
· Excellent verbal and written communication skills
· Seek out innovative, creative and modern ways to represent the Chamber brand
· Flexible, creative problem-solver with positive demeanor
· Self-motivated, organized and detail-oriented is a must
· Proven to provide excellent customer service and be a team player
· Basic understanding of all levels of production
· Working knowledge of Microsoft Office suite programs – Excel, Word, PowerPoint and Outlook
· Experience developing event budgets and managing expenses
· Ability to juggle multiple projects under deadlines
· Ability to marshal resources (people, funding, materials, etc.) to drive results
· Ability to work occasional evenings and weekends
· Knowledge in the following software preferred: Cvent, Asana, Salesforce, Zoom
