Job Description:

Function of Position:

The Technical Assistant for Administrative Services will serve as primary support for the Administrative Services Associate Vice President for Risk Management and Budget, and also support the Controller for all College travel accounting processes. This is a collaborative position with dual reporting responsibilities to the Associate Vice President of Administrative Services and Assistant Controller.

Examples of Duties & Responsibilities:

  • Generates and follows up on various risk management and accounting reports
  • Provides support as requested for financial reports, presentations, research (financial/insurance/risks), etc.
  • Prepares and sends materials, correspondences, and reports to internal and external partners
  • Ability to organize, analyze and summarize data and information
  • Serves as college insurance representative on behalf of AVP
  • Provides required insurance verification for College contracts/grants/MOUs/Agreements, etc.
  • Tracks and maintains college insurance policies including applications for annual renewal and payment of invoices
  • Tracks and monitors college (includes MCCA) insurance claims and college/student driver eligibility requests, including violations and follow-up actions
  • Create/update official documents, forms, brochures, handbooks, etc., for both internal and external use
  • Assists in updating and improving policies, procedures, guidelines, and operating processes
  • Monitors and updates divisional web for accuracy and ensures compliance
  • Assist employees with travel procedural questions
  • Review prior travel forms to ensure costs are allowable and budgeted funds are available
  • Encumber estimated employee travel costs in Banner
  • Process conference and trip expense reports to reimburse employees for travel related expenses
  • Maintain relationships with the College's preferred travel agencies and rental car companies
  • Maintain travel log to track College related travel

Requirements:

Required Qualifications:

  • Earned associate's degree in accounting or a related field from a regionally accredited higher education institution
  • Two years employment in higher education, K-12 system, or financial institution
  • Ability to work independently and in a team setting
  • Competence with administrative software including Microsoft Word, Excel, Outlook, PowerPoint and willingness to further develop as necessary
  • Demonstrate excellent organizational and time management skills as well as the ability to prioritize work-flow and to multi-task
  • Evidence of communicating effectively and building relationships with diverse constituents.
  • Proficiency in data management, attention to detail, and accuracy
  • Commitment to service to the institution
  • Commitment to professional growth

Preferred Qualifications:

  • Earned bachelor's degree in accounting or a related field from a regionally accredited higher education institution
  • Bilingual and able to read, write, and speak Spanish or other languages proficiently

Additional Information:

MCC is currently testing a Pilot Telecommuting Program that runs from October 25th, 2021 to June 30th, 2023. Under the pilot program, this position may be eligible for remote work up to 5 days per pay period pending departmental need and leadership approval. The pilot program may be extended or terminated at any time at the College's discretion.
