The Assistant Director of Finance plays a critical role in managing and overseeing the hotel's financial operations, including accounting, budgeting, forecasting, and financial reporting. This individual will collaborate with the Director of Finance and other departments to ensure the hotel's financial goals are met and contribute to the hotel's overall success. The Assistant Director of Finance will also be responsible for providing financial analysis and insights to support decision-making and strategy development.

Responsibilities:

  • Develop and implement purchasing strategies and policies to optimize procurement processes and drive cost savings while maintaining quality standards.
  • Identify and source suppliers/vendors for a wide range of goods and services, including food and beverage, equipment, supplies, and services, negotiating contracts and pricing to ensure favorable terms and conditions.
  • Establish and maintain relationships with suppliers/vendors, conducting regular reviews and performance evaluations to ensure quality, reliability, and consistency of products and services.
  • Coordinate with department heads and stakeholders to understand their procurement needs and requirements, ensuring timely fulfillment and delivery of goods and supplies.
  • Manage inventory levels and stock rotation, conducting regular audits and reconciliations to minimize waste and inventory carrying costs.
  • Monitor market trends, industry developments, and supplier performance, and adapt procurement strategies accordingly to maintain competitiveness and efficiency.
  • Collaborate with finance and accounting departments to track purchasing expenses, analyze spending patterns, and prepare budget forecasts and reports.
  • Ensure compliance with procurement policies and procedures, including adherence to legal and regulatory requirements, ethical standards, and internal controls.
  • Oversee the implementation and maintenance of procurement software and systems to streamline processes and enhance efficiency and transparency.
  • Lead and develop a team of purchasing professionals, providing guidance, training, and support to ensure high performance and professional growth.

Required Experience:

  • High school diploma required, Bachelor's degree preferred in Business Administration, Supply Chain Management, Hospitality Management, or a related field;
  • Minimum of 5 years of experience in purchasing or procurement, preferably in the hospitality industry or luxury hotel/restaurant sector.
  • Strong knowledge of procurement principles, practices, and procedures, including sourcing strategies, contract negotiation, and supplier management.
  • Proven track record of driving cost savings and process improvements through strategic procurement initiatives.
  • Excellent negotiation, communication, and interpersonal skills, with the ability to build and maintain relationships with suppliers/vendors and internal stakeholders.
  • Strong analytical and problem-solving skills, with the ability to analyze data, identify trends, and make data-driven decisions.
  • Proficiency in procurement software and systems, as well as Microsoft Office Suite.
  • Familiarity with legal and regulatory requirements related to procurement and supply chain management.
  • Strong leadership and team-building skills, with the ability to motivate and inspire a team to achieve common goals.
  • A commitment to upholding the highest standards of professionalism, integrity, and ethical conduct.
