Job Skills / Requirements

Job Summary:

We are seeking a bilingual English – Spanish detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will provide administrative support to ensure efficient operation of the office. The Administrative Assistant will support managers and employees through a variety of tasks related to organization and communication. The candidate should be comfortable multitasking and able to prioritize tasks in a fast-paced environment.

Responsibilities:

  1. Perform administrative and clerical duties, including but not limited to answering phones.
  2. Prepare and modify documents, including correspondence, reports, and emails.
  3. Coordinate and maintain records and files, ensuring accuracy and confidentiality.
  4. Assist in the preparation of regularly scheduled reports.
  5. Greet and assist visitors to the office.
  6. Maintain office supply inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
  7. Act as the point of contact for internal and external clients.
  8. Manage work orders and schedules.
  9. Other duties as assigned.

Requirements:

  1. Proven experience as an administrative assistant or in a in a relevant administrative role.
  2. Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other office management software.
  3. Excellent time management skills and the ability to prioritize work.
  4. Attention to detail and problem-solving skills.
  5. Excellent written and verbal communication skills in English and Spanish.
  6. Strong organizational skills with the ability to multitask.
