Principle Responsibility
The principal role of this position is Customer Sales and Service with a strong 2nd of supporting layout and design for the creative team.
This individual provides the first impression of the company and is the first to answer calls and greet clients. As the first team member to engage in the order taking process, this individual must ensure the work order is detailed accurate and completed to specification and is entered into the system on a timely basis.
Daily work includes writing and communicating estimates on jobs, receiving payments and ensuring the showroom is in order.
The daily activities are approximately 75% customer sales and service, 10% sourcing and working with promotional orders, and 15% layout and design.
Some familiarity with design software is desired. DAILY DUTIES
Daily Responsibilities :
o This includes but is not limited to :
Answering and screening all calls received during business hours as the 1st in line to answer to incoming calls
Responding to general messages left for The Trophy Factory Plus
Greeting and assisting customers who walk in
Taking orders and initiating the order process
Processing orders to be delivered or picked up
Processing payments
Researching and sourcing items for orders
Communicating with customers and responding on a timely basis
Administration responsibilities as assigned
Checking messages and emails frequently through out the day
Ensuring all messages are forwarded to the appropriate team member to ensure customer satisfaction
Maintaining a neat work area
Supporting team members as needed
o Daily Design Responsibilities include but is not limited to :
Searching for prior orders that match the specifications and / or original order records and files for repeat orders and attaching appropriate files to the new order
Defining and / or verifying measurements of plates, engraving space, spelling, and other details outlined on the order
Design as assigned by the graphic design team
Communication with client for sign off before assembly / engraving
Corrections to the design as required
End of Day Responsibilities :
o This includes but is not limited to the following daily tasks :
Update the order status of orders as needed
Preparing a list of follow up activities for the next day
Ensure all inquiries from customers have been contacted

Skills / Qualifications :
Customer service, excellent written and verbal skills, computer skills including data entry, Microsoft Word, Excel, Microsoft Access (general database knowledge (ordering system)), QuickBooks, and Corel Draw.
Problem solving, documentation, listening, phone, and conflict resolution skills are also required.
