Hourly Rate: $28 - $35
Work Schedule: Telework/In-office
Number of Hours Weekly: 15 - 25 hours per week.

Position Overview:
Masi Sports Academy is seeking a vibrant part-time administrative assistant to join our team. The individual must have a passion for serving children, professionalism, and drive to achieve success.
Administrative Assistant Responsibilities:
  • Acting as the point of contact for Masi Sports Academy leadership and staff consisting of managing information flows in a timely and accurate manner.
  • Communicates with professionalism to provide and direct the flow of information to various internal and external stakeholders.
  • Works collaboratively to develop and implement various strategic initiatives across the organization.
  • Assists in recruitment, onboarding, and employment activities.
  • Provide logistical, administrative, and project management support for Masi Sports Academy’s CEO, management, and coaches; manages and coordinate various special projects— some of which have an organizational impact—as directed by leadership.
  • Manages the creation and publishing of relevant, original, high-quality content (for all reports, presentations, channels, documents, and ads).
  • Displays attention to detail and completes tasks accurately and timely when faced with competing priorities.
  • Coordinates staffing schedules to ensure all programs are properly staffed.
  • Coordinates the day-to-day office operation, including, but not limited to problem and conflict resolution, workflow, staff communication, and prioritization of tasks.
  • Self-starter that can work under minimal supervision when necessary; ability to assess the needs of the programs and staff and work to resolve potential roadblocks.
  • Gather, compile, analyze, and evaluate data for performance management goals; implement solutions to drive continuous improvement of business processes.
  • Leads sports program registration, creates reports, and presents to the management team.
  • Provides leadership to build relationships crucial to the success of the organization.
  • Determines priority of matters of attention for the senior leadership team and redirects matters to other staff members as appropriate.
  • Prioritizes conflicting needs; handles priorities expeditiously, and proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Assist with the management of registration software and payroll software.
  • Prepares emails, memos, documents, and other written correspondence.
  • Performs basic accounting functions such as preparing estimates and billing invoices, bookkeeping, and payroll.
  • Ensures timely and effective communication between departments and cross-functional teams.
  • Maintains strict confidentiality with all information acquired.
  • Other duties as assigned.
 
Qualifications:
  • Must possess strong administrative, written, and verbal communication, and organizational skills.
  • Prioritize projects and the needs of the organization while managing multiple priorities and highly sensitive and confidential information with discretion and composure.
  • Experience and comfort with presentations in a group setting.
  • Occasional travel as required.
  • Demonstrated ability to self-start, think ahead, problem solve, and engage proactively, as well as work as part of a collaborative team with tact, and creativity.
  • High level of professionalism and attention to detail.
  • Strong time management skills and ability to multi-task projects in a fast-paced environment.
  • Willingness to learn new skills and participate in new projects.
  • Candidates are required to pass a background check before beginning employment.
  • Strong experience and comfort using Microsoft Suite, including PowerPoint, Excel, and Word.
  • Flexibility in work schedule.
