Los Angeles Firemen's Relief Association is Hiring an Executive Assistant Near Los Angeles, CA

The Los Angeles Firemen's Relief Association, a benevolent organization caring for LA City Firefighters and their families, is currently seeking an Executive Assistant.

Our ideal candidate is a proactive professional with excellent communication skills, detail-oriented, and has the ability to provide administrative and operational support to our management team. The Executive Assistant position provides administrative support to the President, Executive Director, and the Board of Trustees.

The Executive Assistant position requires excellent judgment, interpersonal skills, and the ability to maintain a high degree of discretion in all communications. This position must be able to communicate professionally with Board members, other executives, and staff at all organizational levels, reacting effectively with an ability to prioritize appropriately. The position will also be responsible for managing calendars, coordinating meetings and travel arrangements, preparing reports, agendas, and presentations, and performing various administrative tasks as needed.

Responsibilities for the Position Include:

  • Transcribe the minutes for Board and Committee meetings
  • Book reservations for trustee conferences
  • Data Entry for member beneficiary forms and checking accuracy and supporting documents
  • E-mail reminders for all trustee meetings and events
  • Prepare Board and Committee meeting agendas
  • Handle incoming calls for the Executive team
  • Attend offsite events
  • Data entry of checks received
  • Prepare Thank You Donation Letters
  • Assist with preparing Member Death Notices
  • Collect and reconcile receipts from corporate credit cards
  • Assist with preparing packets for various presentations.

Qualifications and requirements:

  • Proven experience as an executive assistant or similar role supporting senior-level executives
  • Excellent phone etiquette and professional communication skills
  • Strong organizational skills with the ability to multitask and prioritize effectively
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications
  • Attention to detail and problem-solving skills
  • Ability to maintain confidentiality and exercise sound judgment in all aspects of work
  • Strong interpersonal skills with the ability to build relationships with internal/external stakeholders
  • Proactive mindset with the ability to anticipate needs and take initiative
  • High level of professionalism and integrity

Salary Range:

The hiring range for this position is $65,000 to $72,000 per year.

The base pay actually offered will take into account internal equity and also may vary depending on the candidate's job-related knowledge, skills, and experience among other factors.

Time Commitment:

A 9/80 work schedule with every other Friday off. Occasional overtime and offsite work as necessary. Supervisor will create final schedule.

Job Type: Full-time

Pay: $65,000.00 - $72,000.00 per year
