Left Wing is Hiring an Office Assistant (Restaurant Business) Near San Jose, CA

Duties and Responsibilities of an Office Assistant:

1. Managing Files and Invoices in QuickBooks: Organizing and recording invoices in QuickBooks on a weekly basis, ensuring accuracy and completeness. This includes invoices from Monday to Sunday.

2. Accounts Payable: Processing payments to vendors, ensuring accounts are current and reconciled with vendor statements. Handling payment requests and ensuring accuracy in payments.

3.Accounts Receivable: Recording all sales transactions and reconciling them with bank statements. Managing payments received from various sources such as Square, Doordash, Uber, etc., and ensuring proper recording of refunds, voids, discounts, and commissions.

4. Payroll Administration: Preparing and maintaining records for payroll, including filing HR documents. Facilitating the onboarding process for new hires by managing required documentation.

5. Bank Statement Reconciliatio: Checking bank statements regularly to verify transactions, ensuring all expenses are authorized and approved.

6. Purchase Requests: Handling purchase requests and ensuring approvals from the designated manager. Facilitating the purchase process by completing and submitting purchase request forms.

7. Email Correspondence: Responding to emails promptly and professionally, handling inquiries and correspondence on behalf of the business. Managing communication effectively to maintain records and ensure clarity.

8. Calendar Management: Coordinating meetings and conferences, scheduling appointments, and sending reminders to relevant parties. Managing calendars efficiently to optimize time and resources.

9. General Administrative Support: Providing administrative assistance as needed, including handling phone calls, maintaining office supplies, and assisting with various tasks to ensure smooth operations.

10. Communication Preference: While handling phone calls from vendors if necessary, preferring messages or emails for record-keeping purposes.

Job Type: Part-time

Pay: $22.00 - $25.00 per hour

Expected hours: 20 per week

Schedule:

  • 8 hour shift
