Position Title: Program Operations Manager

About LYRIC
Founded in 1988, the Lavender Youth Recreation & Information Center (LYRIC) provides support and services to nearly 2,000 lesbian, gay, bisexual, transgender, queer, questioning (LGBTQQ ) and allied youth per year. LYRIC’s mission is to build community and inspire positive social change through education enhancement, career training, health promotion, and leadership development with LGBTQQ youth, their families, and allies of all races, classes, genders, and abilities. The organization has a budget of approximately $5 million and a staff of 22.
The Impact You Will Have
The People Operations Manager serves as a crucial member of LYRIC’s Leadership Team to drive the day-to-day program operations and support the back-end experience of the people within the organization. The manager will work closely with the Vice President of People and Programs to ensure the on-going safety, organization, efficiency, compliance, and sustainability of LYRIC. Importantly, the Manager maintains welcoming and presentable facilities that communicate LYRIC’s high standards for serving LGBTQQ youth and fosters a community of care for the staff who work at the organization.
What You’ll Do
Operations
- Oversee LYRIC facilities, IT, office space, and general operations
- Develop and maintain policies for organizational office operations and IT procedures
- Manage negotiation, renewal, and maintenance of all operations vendor contracts and relationships including paying bills and invoice in collaboration with Finance Department
- Serve as administrator over online operations accounts (Google Suite, Box, DocuSign, Zoom, etc.)
- Manage all vendor contracts and relationships including paying bills and invoice in collaboration with Finance Department
- Manage office spaces and equipment maintenance, including processing of leases and maintenance agreements.
Office Management
- Create system and monitor general voicemail/email, routing callers/messages to the appropriate person.
- Create system and monitor out-going mail preparation/delivery; In-coming mail distribution; Courier/express mail coordination.
- Centralize orders for all programs and departments to monitor supply inventory: stock maintenance, organization, and procurement to
- Administration of agency phone systems; Communicate with phone service providers and maintain working knowledge of system and technology; Provide training/support for staff.
- Audio-visual equipment maintenance and upgrade; management of check out/check-in system
Facilities Management
- Supervise Facilities Coordinator and Temporary Safety Coordinator
- Create and implement policies to ensure that the LYRIC Offices are a safe, clean, efficient, and welcoming space.
- Ensure compliance of facilitates policies by all LYRIC staff and programs
- Manage building maintenance and oversee long-range facility improvements of LYRIC-owned buildings and grounds
- Ensure compliance with ADA and other regulatory requirements as outlined by various local and state agencies.
- Lead storage/organization/disposal of agency property; ensure pick-up/disposal of compost/recycle/trash/sensitive documents.
- Supervise emergency preparedness and safety plans
- Conduct daily facility inspection, ensuring that needed repairs and/or security issues are addressed immediately; ensure exterior of buildings are well maintained.
People Administration
- Oversee the maintenance of our BambooHR HRIS software.
- Manages all aspects of the benefits program from initial benefits enrollment through retirement ensuring accuracy at all stages, including conducting the benefits presentation at new-hire orientation, qualifying life event (QLE) and other eligibility changes, open enrollment, termination of benefits, and retirement plan document processing.
General Support
- Attend staff and team meetings as a leader of the organization to set an example of positive and unified leadership
- Other duties as assigned as it relates to the core work of the job.
Who You Are
- Seasoned operations professional with proven ability to create organized internal systems with at least 3 years of operations management experience
- A supervisor who values coaching and creating clear expectations and systems of accountability with at least 3 years of direct supervision of multiple staff.
- Practiced community worker who understands diverse models of working with youth (i.e. understanding of principles of youth development, youth-adult partnership, harm reduction, positive sexuality, HIV/STI prevention).
- Engaged community member who has some experiences working with any of the following communities: transgender youth, young women, youth of color, youth with disabilities, young men who have sex with men (YMSM), youth living with HIV, system-engaged youth, immigrant communities, youth engaged in sex work, youth who are homeless/marginally housed, and other historically marginalized groups.
- Somone who thrives in working in a multiracial, multicultural, multi-gendered, and intergenerational environment.
- Organized record keeper who can maintain with data, quality control, analysis, and reporting.
- Savvy user of multiple technologies, including Microsoft Office Suite, Google Apps, Zoom, Bamboo HR, and other HR data systems
- Experienced collaborator who has worked in collaboration with program staff, administrative staff, and mid-level leadership, and an executive team.
The salary for the position is exempt and receives and annual salary of $76,550. LYRIC uses an equity-based model of compensation; we offer a fixed pay rate for staff according to position and tenure with an annual pay increase. Salary is non-negotiable.
