Krasiva Windows & Doors is Hiring an Administrative Assistant / Construction HR Near Phoenix, AZ

Position Overview: Administrative Assistant / Construction HR

Krasiva Windows & Doors is a small but well-established residential window and door replacement company. We need a self-motivated “can do” person to join our office team. Must be willing to help improve our office processes and help deliver the best communication experience for our customers.

Education:

  • High School Diploma or equivalent (required). Associates or better (preferred).

Experience:

· At least 3 years of office admin work (Window & Door construction preferred).

· Proficiency in Microsoft Office software programs.

Responsibilities:

  • Must be able to lift >50 lbs to assist with window and door deliveries
  • Handle incoming calls, provide general information.
  • Daily interaction with clients/contractors, partners and team mates.
  • Perform HR duties and invoicing in QuickBooks.
  • Participate in planning of project execution.
  • Set up and keep current profiles for customers, vendors, and subcontractors.
  • Work with project team to ensure client objectives are met or exceeded.
  • Support field team and assist with project schedules.
  • Maintain customer and project databases.
  • Call or email Clients, Territory Managers and/or Inside Sales Representatives as necessary to acquire information needed.
  • Return calls or e-mails to clients with questions and/or issues on a daily basis.
  • Order entry with minimal errors.
  • Data entry assistance in job tracking system.
  • Preparation of job files and job books.
  • Phone calls to update customers as needed.
  • Updating production and sales reporting information.
  • Returning phone calls for the other team members.
  • Putting together marketing and sales packets.
  • Prepare invoice and job close-out packages.
  • Call the customer to assure they are pleased with the work taking place.
  • Resolve any customer concerns as necessary.
  • Cross trained in other administrative duties and back up for other administrative tasks.
  • Will help maintain schedules, for both in-house workers and sub-contractors.

Skills & Qualifications:

  • Proficient with PC and good 40 WPM typing skills.
  • Construction project admin experience a big plus.
  • Reliable, self-starter with a great work ethic.
  • Excellent communication, organizational skills, problem solver, detail oriented with ability to multi-task, prioritize, and meet deadlines in a fast-paced environment.
  • Enjoy finding creative solutions to challenges.
  • Demonstrated intermediate to advanced proficiency with Microsoft Office programs – including EXCEL.
  • Must be able to prioritize and plan work activities, use time efficiently, and work within deadlines.
  • Excellent verbal and written skills.
  • Manage internal database, CRM follow-up, and job scheduling a plus.
