Job Summary:

At Krasdale Foods, Inc. we’re always looking to strengthen the organization by adding the best available people to our staff. We’re seeking an Administrative Assistant to provide administrative support and perform various office functions for the Human Resources department and department Manager. Liaises closely with other departments throughout the organization providing a customer focused and effective HR support service to the organization and its employees to achieve the organization’s goals and objectives. Duties include general clerical and project-based work. Project a professional image through in-person and phone interaction.

Position responsibilities/duties/functions/task:

  • Answer and respond to incoming telephone calls and/or transfer to appropriate staff member/department.
  • Meet and greet employees and visitors and respond to general inquiries.
  • Create and modify documents using Microsoft Office.
  • Provide general administrative support such as preparing correspondence, forms, and reports, arrange meetings, compose regular correspondence, process confidential reports and documents, file electronic and hard copy documents, track deadlines. Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Establish, maintain, and file personnel, employee, recruitment relations records, files, correspondence, reports and related documents in a timely manner.
  • Ensure proper approvals are obtained before submitting requests to HR Manager.
  • Maintain sensitive and confidential matters like personnel relations, employee relations, and organizational changes, planning and protecting the security of employment information, data and files.
  • Prepare paperwork needed to create new employee profiles and terminations.
  • Utilize judgment while dealing with potential or existing employee relations problems and escalate to department Manager’s attention or department Director where appropriate.
  • Keep current on issues and matters in the organization related to their job functions and processes.
  • Maintain electronic data filing systems such as DC Personnel Monitor, DC Personnel Maintenance and others where appropriate.
  • Prepare and maintain necessary documents for all non-exempt new hires.
  • Research, price, and purchase office supplies as necessary with proper approval.
  • Coordinate catering functions such as bi-annual inventory and holiday/special event meals.
  • Schedule interviews and administer pre-employment drug screen and criminal record checks as required.
  • Support department in assigned project-based work.
  • Create employee file
  • Other duties as assigned.

Essential skills and experience:

High School diploma or equivalent. Business School a plus.

Minimum two years’ experience supporting Human Resources

Effective problem-solving skills. Strong work ethic, dependability, maturity and ability to maintain confidential information.

Able to present information in forms, tables, and spreadsheets. Intermediate proficiency in Microsoft Excel, Word, Outlook, and internet Explorer.

Should be an effective communicator verbally as well as through writing skills. Bi-lingual (English/Spanish) required.

Should be committed to diversity and equality culture.

Ability to operate under pressure and to deliver effective results, meet tight deadlines and targets.
