GENERAL SUMMARY

This position will provide administrative support, which will involves scheduling appointments, giving information to callers, composing memos and emails, and researching and creating presentations. Generates reports, assisting on a project, prepares and monitors invoices and expense reports. The incumbent in this position will have initiative, good judgment, good communication (interpersonal, grammar, telephone skills), organizational skills and discretion. This position at times will manage confidential documents, create/maintain monthly reports, and at times attend staff meetings, taking notes, and transcribing the results. This position interfaces regularly with team members, inside customers, and outside visitors on a regular basis.

ESSENTIAL JOB RESPONSIBILITIES

  • Initiate and provide problem solving and decision-making collaboration with leadership.
  • Set priorities and work within various timelines and deadlines.
  • Provide discretion in handling confidential information and exercising good judgment.
  • Comprehend, retain, and follow oral and written instructions in order to perform a wide variety of administrative services.
  • Good communication skills will be necessary to work successfully with all levels of IAA personnel, the general public, and other government entities.

MINIMUM REQUIREMENTS

  • Two-year degree from an accredited college or university with a degree in Business Administration or related field; or any combination of education and experience that provides the knowledge, skills, and ability to perform the duties of this position.
  • A minimum of three to five (3-5) years of experience in an administrative assistant role.
  • Excellent Microsoft Office product skills (Excel, Word, Outlook).
  • Excellent communication skills, verbal and written.
  • Strong organization skills.

PHYSICAL REQUIREMENTS

  • Operate a motor vehicle with a valid driver’s license.
  • Operate a computer keyboard/calculator and various other office equipment.
  • File/Store.
  • Walk, sit, stand, stoop, bend, climb stairs, and lift up to 50 lbs.
  • See, hear, oral communications, read and write, talk, smell, and eye – hand coordination.

  • Work independently and as a team member.
  • Work in an office environment.
  • Work with varied and detailed materials.
