What We Are Looking For

We are seeking a highly organized and detail-oriented Executive Assistant to provide dedicated support to the CEO. The successful candidate will play a crucial role in managing the CEO's day-to-day activities, ensuring seamless operations and fostering a productive work environment.

Responsibilities

  • Calendar Management: Effectively manage and prioritize the CEO's calendar, scheduling appointments, meetings, and events to optimize their time and ensure efficient daily operations.
  • Travel Coordination: Arrange complex travel itineraries, including flights, accommodations, and ground transportation, while considering the CEO's preferences and business requirements.
  • Communication Management: Handle phone calls, emails, and other forms of correspondence on behalf of the CEO, ensuring prompt and professional responses. Maintain a high level of confidentiality and discretion in all communications.
  • Document Preparation: Draft and prepare documents, presentations, and reports as needed. Proofread and edit materials to ensure accuracy and clarity.
  • Meeting Support: Coordinate and organize meetings, both internal and external, ensuring all necessary resources are available. Prepare meeting agendas, take minutes, and follow up on action items.
  • Confidentiality: Uphold the highest standards of confidentiality and discretion when dealing with sensitive information and discussions.
  • Relationship Management: Build and maintain positive relationships with internal and external stakeholders, including clients, partners, and industry professionals.
  • Special Projects: Assist in the execution of special projects and initiatives as assigned by the CEO, demonstrating flexibility and adaptability.
  • Other duties as assigned.

Requirements

Skills And Qualifications

  • Exceptional organizational and multitasking abilities.
  • Strong written and verbal communication skills.
  • Proficient in MS Office suite and other relevant software. 
  • Ability to work independently and collaboratively in a fast-paced environment.
  • High level of discretion and confidentiality.

Education And Experience

  • Proven experience as an Executive Assistant or similar role supporting high-level or C-Suite executives.
  • Prior experience in a talent agency or within the entertainment industry is a plus.
