Humane Society of Boulder Valley is Hiring a Volunteer Services Manager Near Boulder, CO

The Opportunity: Volunteer Services Manager
The Humane Society of Boulder Valley is seeking a Volunteer Services Manager to lead and manage existing volunteer programs and services while also developing and enhancing programs in support of the evolving needs of the organization. The manager recruits, evaluates, trains, coaches, and assigns volunteers. The manager collaborates with HSBV leadership to determine how best to engage volunteers in support of the mission and goals of HSBV. The manager also addresses volunteer concerns and provides feedback related to volunteer performance. The Manager is a key liaison for HSBV volunteers and organizational leadership and facilitates collaboration and partnership within the volunteer programs and services to ensure a meaningful experience. This position supervises one employee and a cohort of over five hundred (500) dedicated volunteers.
The manager reports directly to the director of human resources and works collaboratively across the organization to explore and identify our volunteer needs. This is a full-time, 40-hour per week position. Start and end times may vary to support department coverage and volunteer training efforts. Holiday, evening, and weekend hours may be required to ensure department coverage and/or to support HSBV events.

Summary of Responsibilities:
Program Development
  • Works in collaboration with departments and volunteers to assess the effectiveness of volunteer programs, develop program goals, measure outcomes, and develop plans to improve targeted areas as identified.
  • Develops and implements volunteer recruitment, retention, and engagement strategies.
  • Develops and oversees volunteer leadership programs and training for volunteers within the department.
  • Collaborates with community partners and other volunteer management professionals to identify volunteer engagement opportunities, target volunteer recruitment, share best practices, and evolve HSBV’s volunteer program.
  • Actively recruits volunteers with diverse demographics to better enable outreach within the surrounding community.
Volunteer Recruitment, Training, and Engagement
  • Conducts volunteer needs assessment and develops volunteer recruitment plans in partnership with department managers and in accordance with annual goals.
  • Implements recruitment strategies designed to attract, train, retain and engage volunteers to support HSBV’s goals and mission.
  • Provides consultation and coaching to program leaders and management regarding volunteer management, volunteer relations issues, on-going support and supervision, leadership development, and succession planning for volunteer programs and special events.
  • Collaborates with staff at all levels and departments to enhance volunteer engagement and retention strategies and efforts; provides ongoing scheduled appreciation efforts to recognize volunteers within departments.
  • Identifies, recruits, and trains volunteer leadership within the organization; offers ongoing opportunities for volunteer advancement through training and leadership opportunities.
  • Works closely with community partners to provide group volunteer opportunities and cultivate partnerships that benefit HSBV.
  • Maintains relationships with external partners to recruit new volunteers and encourage volunteerism in the community.
  • Develops and nurtures relationships with diverse organizations to develop pipelines for diverse volunteer candidates.
Communication and Administration
  • Maintains comprehensive and effective communication to volunteers and staff. Ensures volunteers receive consistent information on organizational mission, practices, and procedures. Updates volunteer documents and training manuals regularly.
  • Oversees record keeping for each volunteer, including application and background check forms, value added skill sets, motor vehicle record checks, and other relevant records. Protects the confidentiality of those records.
  • Selects and configures volunteer management software. Oversees the maintenance of volunteer database records, responsible for monthly statistics.
  • Develops and maintains volunteer policies and procedures with direction from the director of human resources.
  • Responsible for organized volunteer communications, including volunteer program updates and the volunteer newsletter.
  • Submits department budget and expense requests to the director of human resources and operates within the parameters of the established budget
People Management and Supervision
  • Supervises the volunteer department staff. Accountable for performance management including performance appraisals, disciplinary action, recognition, orientation, training, guidance, and overall performance.
  • Oversees scheduling of department staff and volunteers.
  • Ensures appropriate staffing levels to meet departmental and organizational work demands; provides recommendations for employee selection, advancement, change, and termination.
  • Oversees the flow of incoming volunteers, including recruitment, training, and program assignments within departments; monitors the progress of individuals enrolled in the volunteer programs and responds to needs or correction accordingly.
  • Assesses volunteer performance in cooperation with program coordinators and management including feedback and volunteer interviews.
  • Promotes safety in the work environment and manages volunteer injury reports and claims. Incorporates safety into volunteer training and investigates incidents to assess trends and training needs.
  • Actively supports employees and volunteers and promotes the development of skills related to the advancement of HSBV goals and mission.
  • Understands the Council for DEI charter and purpose, and openly advocates on behalf of HSBV to further its diversity, equity, and inclusion goals.
Client Service
  • Provides guidance and advice to department managers and staff on volunteer issues or concerns regarding performance.
  • Practices conflict resolution with volunteers and staff. Provides training to staff to ensure cooperation and teamwork with the volunteers.
  • Ensures quality service is provided to both people and animal clients by volunteers and volunteer service department employees. Assists staff in situations requiring immediate problem solving. Promotes good public relations in accordance with HSBV practices; takes control of situations that could be potentially damaging to the professional image of the Society.
  • Informs the CEO and/or director of human resources of developments that may affect HSBV or the department including departmental progress, client and volunteer concerns, and personnel issues.
  • Informs volunteers of additional opportunities to support HSBV. Cultivates relationships with current and potential volunteers and constituents. Actively promotes HSBV’s mission, services, programs, and events.
  • Serves as a spokesperson for HSBV at various functions relating to the volunteer services department. Professionally represents HSBV’s mission and goals.
  • Represents HSBV in a professional, courteous manner at all times. Provides quality attention to clients, volunteers, and employees recognizing their individual contributions to the success of our organization.
Qualifications
Bachelor’s degree from accredited four-year college and minimum of two years of supervisory, volunteer management, or human resource experience. We will also consider any combination of education, training, and experience that demonstrates the ability to perform the duties of the position. Two years’ experience working with the public is preferred. Proficiency in Microsoft Office applications is required.
Knowledge and Skills
Excellent communication, public speaking, and conflict resolution skills. Must work well with a diverse group of people. Strong organization and supervisory experience necessary. Exercises good judgment when dealing with the public, volunteers, employee issues, animal-related concerns, and confidential information. Knowledge of volunteer management software and best practices for managing volunteer analytics and quantifying volunteer contributions is preferred. Animal handling skills preferred; training is provided. Must be willing to support and communicate HSBV euthanasia policies and decisions.
Mental, Physical, and Communication Demands
Requires working alone and with minimal supervision. Must be self-motivated. Requires working under pressure with public audience. Requires patience and tact when working with difficult, emotional, or angry people. Requires the ability to create detailed and correct written materials. Requires alertness and great attention to detail with animal handling and human relations. Requires speaking and writing effectively and clearly in a professional manner individually and in groups. Requires computer proficiency in word processing, spreadsheets, email, and multiple software programs. Requires ability to assess needs of services and assign resources to meet those needs. Requires handling people and animals in a pleasant, courteous, and professional manner.
Working Conditions
Work is performed in an animal kennel environment and a shared office environment. Regular exposure to animals; potentially subject to animal bites and scratches, zoonotic diseases, and cleaning agents. Frequent walking, standing, bending, lifting, and squatting. Occasional need to climb or balance, kneel, crouch, or crawl. Daily lifting up to 10 pounds and occasional lifting of up to 40 pounds. Required to sit at a desk and use the computer keyboard for most work shifts. Occasionally required to participate in animal care and kennel cleaning efforts to support the shelter department, employees, and volunteers.

The anticipated pay range for this position is $52k - $60k earned annually. This range is the Humane Society of Boulder Valley's estimate of this position and compensation will be based on factors including by not limited to the depth and extent of relevant experience, education, and additional training/certification for preferred skills.
