THE IDEAL CANDIDATE Qualifications: High School Diploma, or its equivalent and a minimum of 3 years administrative professional experienceExcellent organizational and clerical skillsExceptional written and verbal communication skillsDemonstrated ability to interact in a cooperative manner with volunteers, professional, programmatic, and YMCA team membersDemonstrated ability to multi-task, work under pressure and meet deadlines with quality and excellence in a fast-paced environmentExcellent organizational and time management skillsA commitment to the YMCA Mission and Purpose – with the proven ability to model and teach unifying behavior to support Y culture and develop high-performing and collaborative teams Ability to maintain a high level of confidentiality and professionalismAbility to manage and accomplish multiple projects and work assignments with little supervisionAbility to travel to multiple Center locations to perform responsibilities within the districtWillingness to learn and utilize various software programs such as OnBoard, Spendbridge, and CORE Attributes: High energy, positive, “can-do” attitude, flexible, team oriented, attention to detail and high degree of initiative will help this candidate be successfulProven track record in building authentic relationships with othersAbility to connect and relate with diverse groups of people at all levels of the organization Essential Functions: Under the supervision of the Association Director of Operations, the Operations Administrative Assistant is responsible for ensuring efficient and smooth administrative functions to the Regional Vice President and the YMCA Centers within the region. The Operations Administrative Assistant is responsible for organizing, prioritizing the timely execution of administrative duties. These responsibilities include, but are not limited to: Manage, coordinate and scheduling calendars for Regional Vice President and Center LeadershipCoordinate and support Center Advisory Board bi-monthly meetings and Executive Committee bi-monthly meetings in collaboration with Center Leadership for multiple Center locationsWork in collaboration with the District Business Services Directors to process Center depositsMaintaining records, statistics, databases, and files with accuracy and organizationPerforming general clerical duties, which include, but are not limited to, typing, copying, and filing Utilize various software programs for Center Advisory Board meetings, purchasing, bank deposits.Place office supply orders for CentersAssist with special eventsPreparing and distributing general correspondence with program participants, volunteers, and YMCA of Greater Indianapolis team membersCreating various documents, materials for presentations, promotions, and reports
