Job description -
We are seeking a versatile Administrative Support Specialist to join our dynamic team. This role will be pivotal in providing comprehensive support across various facets of our organization, including talent recruitment, receptionist responsibilities, operational support, safety portal management, onboarding assistance, IT ticket coordination, and general office administration duties. The ideal candidate will possess excellent organizational skills, strong attention to detail, and the ability to multitask effectively in a fast-paced environment. Position Duties/Responsibilities:
§ Collaborate with the HR department to assist in the recruitment process, including scheduling interviews, coordinating candidate communications, and maintaining recruitment databases.
§ Support in the drafting and posting of job advertisements on relevant platforms.
§ Assist in the initial screening of resumes and applications.
§ Serve as the first point of contact for visitors and clients, providing a warm and professional greeting.
§ Manage incoming calls, directing them to the appropriate department or individual.
§ Handle incoming and outgoing mail, packages, and deliveries.
§ Provide comprehensive support to the operations team, assisting with various administrative tasks to ensure smooth daily operations.
§ Help maintain safety portals and ensure compliance with relevant safety regulations and procedures.
§ Assist in onboarding processes for new hires, including preparing documentation and coordinating orientation schedules.
§ Act as a liaison between employees and the IT department, triaging and coordinating IT support requests.
§ Maintain IT ticketing system, ensuring timely resolution of issues, and escalating as necessary.
§ Assist with basic troubleshooting and provide technical support to employees as needed.
§ Assist with general office administration duties, including managing office supplies, scheduling meetings, and maintaining office cleanliness.
§ Support in the coordination of company events, meetings, and conferences.
§ Handle basic administrative tasks such as filing, data entry, and document preparation.
Qualifications:· Previous experience in an administrative support role, preferably in a fast-paced environment.· Strong organizational skills with the ability to prioritize tasks effectively.· Excellent communication skills, both written and verbal.· Proficiency in MS Office Suite and basic IT troubleshooting skills.· Ability to maintain confidentiality and handle sensitive information with discretion.· Proactive attitude with a willingness to take on new challenges and adapt to changing priorities.· Education:· High school diploma or equivalent required; additional certification or coursework in administration or related field preferred. Physical Requirements:
· Must be able to sit at a desk for prolonged periods of time.
· Extended amounts of time at a workstation utilizing equipment such as computer monitors, keyboard, telephone, etc.
· Must be able to lift-up to 15 pounds at times.
