Hickory Recovery, a network of experts who specialize in providing the absolute best rehab treatment for alcohol and drug addiction, is seeking an Administrative Assistant that has a passion for providing the highest quality of care with compassion and integrity.
PRIMARY FUNCTION:
The Administrative Assistant is an integral member of the administrative team, assuring smooth daily operations of the residential treatment facility.
SCOPE:
Under the immediate supervision of the Executive Director, the Administrative Assistant assists in maintaining the daily operations of the treatment facility. The Administrative Assistant serves visitors by greeting, welcoming, and directing them appropriately; notifies facility personnel of visitor arrival; maintains security and telecommunications.
MINIMUM QUALIFICATIONS:
· High School diploma or equivalent, with at least 2 years’ experience working in an office setting.
· Ability to follow directives explicitly, intrinsic motivation, client-driven services disposition, excellent time management skills, team approach, with advanced computer skills.
· Payroll or time tracking experience preferred
· Schedule flexibility may be REQUIRED to accommodate client admissions.
· Must hold a valid driver’s license with reliable transportation
PRIMARY RESPONSIBILITIES:
· Maintains adherence to HIPAA compliance in ALL communication regarding clients in treatment.
· Answers all incoming telephone calls to the residential facility, takes messages, transfers calls as warranted.
· Greets and assists all visitors, receives mail and packages daily.
· Prepares correspondence for Management, including spreadsheets.
· Maintains confidential files and materials as directed, maintains professional boundaries.
· Manages requests from the Executive team.
· Cultural sensitivity and ethical attention to all clients, callers.
· Understanding and implementation of professional boundaries and client confidentiality.
· Professional appearance, both in-person and via telephone with team-centered demeanor.
· Additional duties as assigned by the Operations Manager as well as other senior members of Management.
· Keeps the AP spreadsheet up to date & submits invoices and vendor information as needed
· Assists ED with petty cash tracking and daily reconciliation.
· Scanning of EE documents to HR daily
· Maintains EE files and communications with corporate HR
· New Hire Orientation and building introductions
· Assist with payroll Time Tracking and Reporting
· Updates and sends census daily to Chief Reimbursement officer
· Sit in for EE communications, and corrective action meetings as needed
· Order office supplies for the facility
· Sorts and scans all mail to appropriate team or corporate members.
· Scans all pre-authorizations & insurance related mail to UR, weekly on Friday
SCHEDULING REQUIREMENTS:
Full-Time, M-F 9a5p

Pay: $16.00 - $18.00 per hour
