HHB is Hiring an Administrative Assistant Near Ithaca, NY

We are seeking a driven, detail-oriented Administrative Assistant to join our team, an Ithaca home-building firm that specializes in custom building and design. As the Administrative Assistant you would play an important role in the team to ensure the seamless progression of work between the office and construction site. Your exceptional organizational skills and ability to handle multiple tasks simultaneously will be crucial in this role.

Duties:

  • Provide the crucial link in communication between the client, designer, and job-site crew and handle phone and email correspondences.
  • Conduct research for the project, including sourcing unique hardware, materials, and miscellaneous fixtures needed for smooth continuation of ongoing projects.
  • Order and coordinate delivery for jobsite framing materials, approved finish selections, etc. and coordinate with the vendors to secure the best pricing and timing.
  • Coordinate with subcontractors, architects & engineers, and code inspectors to meet project needs.
  • Manage projects simultaneously while meeting client expectations and site requirements.
  • Establish estimates for overall project budgeting.
  • Manage the office end of work of administrative roles, printing blueprints and meeting materials, keeping the calendar and scheduling.

Skills:

  • Proficient in Microsoft docs (Word, Excel, PowerPoint) and/or Google Docs.
  • Strong organization skills in both physical and digital files.
  • Ability to manage calendars and scheduling effectively.
  • Exceptional customer service skills.
  • Creative problem-solving and thinking outside the box.
  • Strong attention to detail, organization, and multi-tasking as there are multiple projects occurring simultaneously.
  • Ability to work independently, as well as part of a team.
  • Dependable, honest, and hardworking.
  • Strong communication skills to effectively present design ideas to clients and provide instruction to the jobsite teams, both written and verbal.

Job Types: Full-time, Part-time

Pay: $18.00 - $30.00 per hour

Expected hours: No more than 40 per week
