Staff and Faculty is Hiring an ADMINISTRATIVE ASSISTANT - DINING SERVICES Near Ithaca, NY

Job Summary: 

Provide administrative, communication, data entry, and financial clerical support to the Department of Dining Services. Serve a key public contact for Ithaca College Dining Services operations for the campus and community. Provide structural and organizational support for all sales journals and financial activities, including sales reports, inventory transfers, credit card reconciliation, and data entry. Provide communications support to Dining Services, including monitoring email accounts, answering phone calls, monitoring social media and receiving visitors. Support all Directors and Assistant Directors in their daily operations.

Job Responsibilities:

  1. Provide administrative support to the Dining Services Senior Leadership Team. 
  2. Represent front-line contact for Dining Services phone calls and e-mail accounts.
  3. Organize, manage and input all departmental journal entries and sales reports.
  4. Organize and input all departmental monthly inventories.
  5. Perform all internal inventory transfers.
  6. Reconcile all departmental credit card purchases. 
  7. Perform administrative duties such as assisting with budgets and financial reporting. 
  8. Serve as liaison and point of contact with off-campus individuals, external agencies, business partners, and vendors.
  9. Prepare or compose letters, reports, statements, and other documents under general instructions from the supervisor. 
  10. Maintain administrative records and relieve the department of administrative details. 
  11. Assist the campus retail department with consistency, uniformity, and on-screen visual appeal of all GrubHub outlets and menu items. 
  12. Assist with the input and accuracy of data for menu management systems like NetMenu and NetNutrition. 
  13. Assist with and identify, confirm, process, and mail all vendor rebates. 
  14. Assist in the recruiting, hiring, and onboarding of Dining Services professional and student staff. . 
  15. Participate in special projects as assigned and assume other office support staff duties or as directed. 
  16. Ensure confidentiality and security of office facilities, equipment, and records.
  17. Perform other duties as assigned. 

Qualifications: 

  1. A high school diploma and a minimum of 3 years of previous office experience.
  2. Verifiable experience with general accounting principles including journal entries, sales reports, and account reconciliation.
  3. Proven mastery of most common software platforms, particularly Microsoft Excel. 
  4. Excellent interpersonal, organizational, and written and verbal communication skills. 
  5. Ability to provide excellent customer service while working effectively and respectfully within a diverse and inclusive environment.
  6. Ability to work independently and in a team environment, basic record-keeping abilities, and strong attention to detail. 
  7. Experience creating, editing, maintaining, and implementing professional communication strategies for an organization. 
  8. Experience managing organization websites and/or social media accounts. 
  9. Previous customer service experience and food and beverage industry experience. 

Work Environment:

The work of the incumbent is carried out within an accessible, safe, indoor environment. The incumbent may be required to lift and carry 50lbs., will be issued and required to wear slip-resistant shoes, and may be required to work overtime, nights, and weekends as needed.

Hiring Range:

$18.45 - $20.00 per hour, commensurate with qualifications and experience.
