Job Description:

HelloFresh’s Office Coordinator, Workplace Operations will be responsible for supporting key clerical and organization initiatives at our New York City Headquarters.

In this role, you will be focused on tracking & stocking inventory, organizing supplies, up-leveling aesthetics, and assisting your team on in-office projects. You will be energized by this role if you enjoy clean spaces, staying super organized, and working collaboratively.

This is an in office, hourly position.

8:00am-4:30pm - 30 minute lunch - M-F

You will

  • Be a primary onsite resource for the employees at our NYHQ office location.
  • Work with building personnel to receive deliveries & support pick up
  • Assist in morning setup including resetting office furniture, stocking supplies, and conducting space walk-throughs
  • Assist with in-office event set-up and breakdown including lunch catering, happy hours, onsite meetings, and group events
  • In partnership with your manager:

o Keep inventory of supplies and order new materials as needed

o Own projects aimed at improved organization of supplies and inventory

o Escalate office-related issues in a timely and professional manner

  • Support ad hoc projects aimed at improving office aesthetics and the in-office employee experience

You Are/Have

  • A self-starter, able to work independently and driven by an enthusiasm for learning and proactively improving existing processes
  • Able to perform the essential functions of the position with or without reasonable accommodation, including:

o Regularly lifting and moving up to 25 pounds, and occasionally lifting and moving up to 60 pounds with or without assistance.

o Stand and walk for prolonged periods.

  • This role is not work from home eligible.
  • Aesthetics are important, so this person should have a great eye for detail and organization, with very high standards for a neat and organized office.
  • Comfortable with getting your hands dirty (literally and figuratively!)
  • A customer-focused mindset - in this role every onsite employee is your customer
  • An ability to communicate clearly and effectively in both verbal and written form

At minimum, you have...

  • One year of office or administrative experience is preferred.
  • Experience with Excel and/or Google Sheets is required; Adobe Acrobat is preferred
  • Must be at least 18 years old.
  • Hold a high degree of professionalism
  • Demonstrate a high level of confidentiality and discretion working with confidential materials
  • Must follow all safety policies/procedures, as well as adherence to PPE/hygiene policies, in cooperation with the supervisor.
  • Lift up to 30 pounds
