Kostow Greenwood Architects is Hiring an Office Manager/Marketing Coordinator Near New York, NY

About Kostow Greenwood Architects

KGA is a NYC based firm specializing in performing arts, broadcast and media facility design, and creative workplace projects. With over 30 years experience in new development as well as preservation and adaptive reuse of historic structures, KGA has established a reputation for delivering high quality design and management of projects requiring both base-building and interiors.

Position Summary and Key Responsibilities:

We are looking for a Office Manager / Marketing Coordinator who will work under the direction of KGA principals and marketing consultants to create and execute marketing materials and strategies as well as be the point person for ordering office supplies, keeping our employee manuals and job descriptions up to date, managing the firm’s CRM, and coordinating office culture building events. A successful candidate is savvy in InDesign, Wordpress, and social media platforms. You can work without direction, are detail-oriented and thrive on keeping yourself and those around you organized.

Marketing management:

  • Award Submissions - research, compile, format submissions in InDesign and/or submit the required documents to award portals
  • Proposals and RFQs - Compile proposal response in an InDesign file and create project sheets per proposal requirements working with a principal on content
  • Brochure layouts and updates - create and update collateral with Principal coordination
  • Quarterly E-blast & Database / CRM management - Working with PR team, create and post quarterly e-blasts and manage our contact database: update contacts, add new contacts
  • Marketing Materials and Marketing Directory
  • Organize Image Library
  • Update website using WordPress
  • Social Media (LinkedIn and Instagram) - provide weekly written and visual content and create posts for the KGA and principal accounts with our PR team.

Office Administration:

  • Overall office coordination and management including ordering supplies, maintaining office filing systems (paper and digital), and upkeep of overall office environment
  • Coordinate with IT consultant and manage software purchases, subscriptions and equipment maintenance and upgrades
  • Maintain firm’s Employee Manual and HR files
  • Implement, maintain and update CRM Database
  • Help draft job descriptions for recruiting efforts
  • Organize celebrations for employees and office events, ie end of year holiday party and quarterly office outings, museum exhibits trips, sketching trips, etc.
  • Coordinate with business development team

Compensation and Benefits:

Salary range for this position is $60,000-$75,000. We will consider relevant experience, qualifications, and other job-related factors in determining compensation.
