Heart of Texas Play Therapy is Hiring an Office Manager/Administrative Assistant Near Austin, TX

JOB DESCRIPTION: We are seeking an Office Manager/Administrative Assistant to join our Child and Family Mental Health group practice team! You will perform direct client contact and other clerical and administrative functions in order to drive company success. **Submissions with Cover Letters prioritized
EMPLOYMENT TYPE:
CONTRACT POSITION with possibility of HIRE (1099 to W-2)
START DATE: Immediate
WORK HOURS: M-F, 9a-1p.
REQUIREMENTS: **All tasks will be completed on site and during work hours
  • Must live in Austin, TX or within 30 minutes of 78735
  • Values the Importance of Detail
  • Excels at taking initiative, while also able to receive ongoing instruction and feedback to meet efficiency standards
  • Administrative Assistant Experience (3 years) - References will be checked
  • HIPAA training and certification required - to be completed after hire
RESPONSIBILITIES:
  •  Draft electronic correspondence and prepare formal documents to incoming clients and other team members
  •  Plan, match, and schedule appointments, meetings, and events for therapist team members
  •  Open and prepare office and guest spaces each day - light housekeeping required
  •  Greet and assist lobby guests (i.e. children - all ages, families, other professionals)
  •  Answer ALL inbound telephone calls during shift; Return or Direct incoming emails, voicemails, and messages within 24 hours
  •  Develop and implement organized filing systems via electronic platforms and physical storage units
  •  Obtain master proficiency utilizing and managing company accounts across multiple databases and electronic platforms: Electronic Health Records (EHR), client portal, and other practice management software tools 
  • Assist with hiring, onboarding, and training new team members
  • Follow HIPAA Rules and Guidelines and other confidentiality standards in all communication with clients and team members
  • Perform all other office tasks and office maintenance
QUALIFICATIONS:
  •  Previous experience in balancing Office Administration and Customer Service
  •  ABILITY to prioritize and multitask
  •  EXCELLENT written and verbal communication skills
  •  STRONG attention to detail
  •  STRONG organizational skills
