Job Summary and Qualifications

The Executive Administrative Assistant to the Chief Executive Officer (CEO) and the Chief Operating Officer (COO) serves as the primary source of administrative and clerical support for this senior executive hospital position. Principal goals of this position include: (1) efficient scheduling of meetings, appointments, conferences, etc.; (2) effective communications with colleagues, doctors, staff, vendors, patients or the public in person, by telephone, or in writing; (3) following up with designated department managers on the status of assigned projects, due dates, deadlines, etc.; (4) preparation of written correspondence which is appropriate to the purpose and structurally, syntactically and typographically correct; (5) management and simplification of the flow of documents handled by the CEO/COO, including apprising the CEO/COO of all topical issues while directing less demanding issues to other areas of the hospital; (6) the effective management of frequently-changing schedules and priorities.

  • Apprises CEO/COO of all topical issues which merit the CEO/COO attention and involvement.
  • Assists department managers with special projects as assigned by the CEO/COO.
  • Assists the CEO/COO as requested by them and other members of the Senior Leadership Team. Communicates effectively with colleagues, doctors, staff, vendors, patients or the public in person, by telephone, or in writing.
  • Directs less demanding issues to other areas of the hospital.
  • Ensures all documents submitted for approval meet applicable requirements as to format, content, review and approval of subordinates, etc.
  • Follows up with designated department managers on the status of assigned projects, due dates, deadlines, etc.
  • Maintains current, organized files for the CEO/COO and, as requested by the CEO/COO, for other members of the Senior Leadership Team.
  • Maintains the business calendar of the CEO/COO to enable their attendance to all appointments and responsibilities at the proper time.
  • Manages and simplifies the flow of documents handled by the CEO and COO.
  • Prepares minutes of assigned committee meetings for Senior Leadership Team in a timely manner.
  • Prepares typewritten correspondence, reports and other written communications for the CEO and COO, as requested by the them, for other members of the Senior Leadership Team.
  • Correspondence is to be appropriate in language and tone to the business purpose and structurally, syntactically and typographically correct.
  • Schedules meetings, appointments, conferences, etc. for the CEO/COO and other members of the Senior Leadership Team as required.
  • Identifies role as a team member and works efficiently to achieve goals of team, department, and hospital.
  • Demonstrates to patients, family members, physicians, and co-workers courtesy and caring through customer service skills.(Utilizes the Standards of Excellence)
  • Demonstrates ability to communicate clearly, directly, and professionally. Does not participate in gossip. (Maintains and enhances self esteem, Listens and responds with empathy, Involves the customer)
  • Demonstrates professional behavior in actions and consistently portrays a positive attitude. (Maintains and enhances self esteem, Listens and responds with empathy, Involves the customer).
  • Respects diversity of each individual (e.g. patients, families, physicians, and co-workers).
  • Manages conflict effectively and/or seeks appropriate assistance from Director or HR to resolve conflict.
What qualifications you will need:
  • Four years secretarial experience; office management experience preferred.
  • Excellent writing, speaking and interpersonal skills.
  • Analytical and interpretive skills.
  • Ability to handle stress, multiple simultaneous tasks and changing priorities.
  • Sufficient knowledge of and facility with computers to utilize effectively word processing, spreadsheet, hospital information system and other computerized tools.
