Job Description:
We are seeking a proactive and detail-oriented Executive Assistant to provide high-level administrative support to our Chief Financial Officer (CFO) within our national home health organization. This position will be based in Boca Raton, FL, and offers the potential for a hybrid schedule, allowing for both remote and in-office work.
Responsibilities:
Administrative Support: Provide comprehensive administrative support to the CFO, including managing calendars, scheduling meetings, arranging travel itineraries, and handling expense reports.
Communication Management: Serve as the primary point of contact for internal and external communications directed to the CFO, screening and prioritizing correspondence as needed.
Data Management and Reporting: Run Excel reports as needed, utilizing advanced Excel skills to compile and analyze data effectively. Input entries in NetSuite, ensuring accuracy and completeness of financial records.
Accounting Oversight: Oversee company accounting activities, including accounts payable/receivable, payroll processing, and financial reconciliations, to ensure compliance with regulatory standards and organizational policies.
Regulatory Reporting: Assist with annual regulatory reporting requirements, collaborating with internal stakeholders and external auditors to compile and submit necessary documentation accurately and on time.
Statistical Analysis: Analyze reports and data to identify trends, anomalies, and statistical findings, providing valuable insights to support decision-making processes within the finance department and across the organization.
Project Coordination: Assist in coordinating special projects and initiatives as assigned by the CFO, leveraging analytical skills and attention to detail to contribute to project planning, execution, and evaluation.
Relationship Management: Build and maintain positive relationships with internal stakeholders, external partners, and vendors on behalf of the CFO, fostering collaboration and effective communication.
Requirements:
Bachelor's degree preferred, or equivalent combination of education and experience.
Proven experience as an executive assistant or similar role, supporting C-suite executives in a corporate environment, with exposure to healthcare industry operations.
Advanced proficiency in Microsoft Office Suite, particularly Excel, with demonstrated experience in running reports, analyzing data, and creating financial models.
Experience with NetSuite or other ERP systems, with the ability to input entries and navigate financial modules effectively.
Strong understanding of accounting principles and practices, with previous experience overseeing accounting functions preferred.
Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
Strong communication skills, both written and verbal, with the ability to convey complex information clearly and concisely.
Discretion and confidentiality in handling sensitive information and dealing with high-level executives and stakeholders.
