Job Description:

SUMMARY:
Position provides front office coverage by representing the company in a professional and courteous manner. The person in this position is skilled to handle reception and clerical duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Core duties and responsibilities include the following. Other duties may be assigned.

  • Answer all phone calls in a timely and courteous manner; accurately and expediently transferring calls to the appropriate person; offers caller options in handling their phone call such as holding, paging, voice mail etc.
  • Greet visitors warmly, follws the C-TPAT security awareness procedures and notifies appropriate office staff of their arrival and assists them to the right person.
  • Receives and signs for all delivered overnight mail and packages (FedEx. DHL, UPS).
  • Responsible for sending daily attendance email to supervisors and managers to log "out-of-office" staff list.
  • Drive to post office to pickup mail and drop off outgoing mail.
  • Open all mail including overnight packets; logging all incoming checks and bills of lading. Receptionist is authorized to open mail that may have an individual's name listed so it may distributed to the correct department. The receptionist does not open mail that is marked "confidential or personal" or statements from the bank.
  • Performs wide variety of executive secretarial and administrative duties as required by daily operations.
  • Photograph and create employee I.D. badges.
  • Responsible for scanning debit, credit notes, and invoices to origin offices on a weekly basis; emails overseas office that a folder has been created for their review.
  • Assists Sales and Marketing in mailing or packaging sales promos, maps, newsletter and brochures.
  • Assists other departments in a variety of tasks with knowledge of Executive Assistant.
  • Keep Executive Assistant apprised on any front desk issues that may need to be resolved or addressed.
  • Perform other duties as directed. Responsible for all cell phone users plans and equipment; monitor monthly invoice and review usage.

QUALIFICATIONS:

EDUCATION AND/OR EXPERIENCE:
