Front Porch is Hiring an Administrative Assistant Near Canoga Park, CA

SUMMARY: Acts as a clerical support person to the administrator and keeps administrative records and executes CARING Managed Communities & Services administrative policies and procedures by performing the following functions:

ESSENTIAL DUTIES AND RESPONSIBILITIES; including the following. Other duties may be assigned

  1. Schedules appointments, gives information to callers, composes and types correspondence, routes incoming mail, and performs other administrative and clerical duties as assigned.
  2. Updates telephone listings and keep a calendar of events and meetings for the facility.
  3. Completes reports as assigned
  4. Coordinates the application and waiting list and move-in/leasing process in accordance with all federal standards. Certifies eligibility of all applicants for residency.
  5. Collects yearly certification documents and schedules interview appointments.
  6. Maintains office files including resident files and operation files as required by the policies & procedures of CARING Managed Communities & Services; including vendors, contracts, accounts payable etc.
  7. Processes accounts payable on a regularly scheduled basis for administrative approval.
  8. Orders office supplies as necessary.
  9. Nurture and maintain a good working relationship with and a good knowledge of each resident.
  10. Act as the primary contact for residents and the public as they interact with the staff of the facility as they make their requests for assistance and information known.
  11. Treat all information that is accessed as a part of the job, as confidential.
  12. Performs miscellaneous clerical duties such as answering the telephone, filing, copying, and typing as directed by the Administrator and Assistant Administrator.
  13. Receives and records rent payments from residents on a regular and timely basis.
  14. Makes travel and meeting arrangements as requested.
  15. Maintains a master calendar of events within the facility.
  16. Fill out maintenance requests for residents & forward to the maintenance dept
  17. Assist with the resident newsletter; i.e., typing, copying, etc.
  18. Prepare daily bank deposits & depositing funds in the bank in accordance with corporate policies & procedures.
  19. Prepare & send out, as needed, resident monthly rental & fee statements.

QUALIFICATIONS / REQUIREMENTS:

EDUCATION and/or EXPERIENCE

Two years of college or business school training, or three to five years related experience and/or training; or equivalent combination of education and experience. Knowledge of computer software operating systems including; micro-soft, micro-rent, micro-HUD, word, Excel, etc.

LANGUAGE SKILLS

Ability to read, and interpret general business periodicals, professional journals, technical procedures, and/or government regulations. Ability to write reports; business correspondence, and procedure manuals.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, resident income requirements, rents, accounts payable, etc.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, in diagram or schedule form.

Final candidates must successfully complete a pre-employment physical, drug screen and criminal background clearance.
