Crystal Lake Community Management, Inc. is Hiring an Administrative Assistant Near Bend, OR

The Administrative Assistant performs routine office and clerical tasks and community support duties related to the efficient maintenance, processing and upkeep for homeowners, bookkeeping and community management team.
OFFICE RESPONSIBILITIES
  • Answer main phone and handle generic homeowner questions
  • Open mail and distribute accurately
  • Maintain postage machine meter and balance at month end
  • Maintain appropriate level of office supplies
  • Entry level bookkeeping and assisting bookkeepers,
COMMUNITY SUPPORT
  • Keep community web sites updated with current information
  • Scan and file community records
  • Projects for Community Managers (variety of projects.)
  • Pool and facility reservation coordinator
  • Prepare community amenity key cards, fobs and/or mail keys for distribution
  • Turn on/off pool access cards seasonally
 
QUALIFICATIONS
  • Strong Customer Service Skills
  • Knowledge of Word, Excel, and Outlook
  • Excellent organizational and communication skills
  • Accurate word processing up to 65 words p/m
  • Proficient, accurate data entry
  • Ability to prioritize and complete tasks efficiently Assist Community Managers as approved by operations
  • Reliable transportation
TRAVEL
Some travel is expected of this role in order to coordinate and attend community projects and manage property maintenance responsibilities.
This is a Full-Time, Non-Exempt position.
 
POSITION TYPE & EXPECTED HOURS OF WORK
This position must be able to remain in a stationary position 75% of the time. The person in this position needs to occasionally move about the office to access file cabinets, copiers, scanners, etc. The person in this position constantly operates a computer, copier and calculator. This position must be able to frequently communicate with vendors, homeowners and colleagues via email and phone. No supervisory responsibility for this position.
 
PHYSICAL DEMANDS
This job operates in varying environments including desk work, event work, and maintenance work. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
