Florida Citrus Sports is Hiring an Event Operations Assistant Manager Near Orlando, FL

Type: 1 year seasonal, hourly position, no benefits

Position Description
The Events Manager will manage the Varsity Club and support the Operations department through the planning and execution of events related to the Florida Blue Florida Classic, Florida Cup, the Pop Tarts Bowl, and the Cheez-It Citrus Bowl. This position reports directly to the Senior Director of Event Operations.

General Responsibilities

Varsity Club

  • Serve as the year-round, on-site, primary point of contact for Varsity Club meetings and events; recruit, train and maintain a pool of additional on-site event coordinators; supervise seasonals working events
  • Maintain Varsity Club calendar and communicate to all parties such as Venues staff, security, cleaning and others
  • Proactively schedule on-going maintenance of the Varsity Club, ensuring space is always ready for events; this includes but is not limited to carpet cleaning, general cleaning, room setting and regular annual maintenance
  • Update and refine list of approved caterers, ensuring the existing catering partners are providing first rate food and beverage services for Varsity Club patrons
  • Schedule and supervise third party vendors, coordinating with FCS in-house departments as necessary
  • Partner regularly with marketing on updating collateral, the website, and promotional materials
  • Once an event date is confirmed, work closely with user on floor plans, contracts and invoices; secure signatures and payment as appropriate; follow up with vendors as needed
  • Coordinate security/stadium access, cleaning, set-up, and staffing with preferred caterers, AV and users

Bowl & Hotel Operations

  • Coordinate and assist with team operations for bowl games including, but not limited to post-selection team site visits to stadium (and virtual meetings), team hotels and practice sites
  • Coordinate (4) Team Arrivals and Player Welcome Parties in conjunction with the volunteer coordinator
  • Develop floor plans for the (4) VIP hospitality suites, Player’s Hospitality Suites and Family Suites, located in each of the team hotels.
  • Negotiate best available pricing with external vendors, to include but not limited to rental furniture, décor, games, hotels, catering, audio visual, cable, wifi, electrical and interactive entertainment; ideally, the candidate would negotiate bulk rates for servicing multiple properties
  • Communicate clearly with all stakeholders regarding hotel events, policies and procedures
  • Schedule and manage hotel interns and vendor load-in at hotels, ensuring that all equipment and games are in good working order throughout the duration of the team’s stay; oversee function space load out on the day after the games
  • Work with hotel catering staff to develop preliminary menus for the different constituents
  • Track hotel BEO’s; track additional billing back to schools and/or food cost splits.
  • Develop and execute hotel delivery and daily room drop plans for VIP and player gift delivery at each team hotel
  • Oversee/deploy seasonal event runner for any operational needs
  • Other duties as assigned

Other Events
Assist with the coordination and implementation of any events including but not limited to Florida Blue Florida Classic and Florida Cup.

Qualifications
FCS is looking for the ULTIMATE TEAM PLAYER, a detail-oriented self-starter, who possesses excellent writing, proof reading, computer skills. Strong time management, organizational skills, problem solving and the ability to get things done under pressure are essential. This person will interact with a variety of people and represent FCS accordingly.

Required:

  • Bachelor’s degree
  • Minimum 5-8 years’ experience in a professional setting within the sports, hospitality, or event industry
  • Minimum 3 years leading a team of individuals
  • Prior experience developing and managing a budget
  • Strong computer skills in Microsoft Office – Smartsheet & Prism preferred
  • Ability to manage, prioritize and bring to completion multiple projects simultaneously
  • Must be able to maintain confidentiality of all corporate, personnel and research matters
  • Attention to detail and adaptability to a changing environment
  • Ability to lift moderate to heavy event supplies up to 50 lbs. occasionally
  • Self-motivated, team player with enthusiasm and a professional demeanor
  • The ability to travel throughout the local Central Florida are

Commitment
This position could range up to 20 hours May-Oct and expanding to forty hours per week Nov-Jan. Need a willingness and ability to work overtime, nights and weekends, including the December holiday season according to the Florida Citrus Sports event schedule, and is eligible for overtime pay for hours worked in excess of 40 hours/week based on a Sunday-Saturday work week. The successful candidate will be required to successfully complete a background check and motor vehicle driving check.
