Flexjet is a growing global enterprise with a fleet of fixed-wing and helicopter aircraft, rivaling the size of some major airlines, based throughout the globe. To that end, we are seeking a candidate who will be responsible for managing and facilitating all aspects of the CEO's schedule, including arranging and managing both domestic and international travel needs, as well as sensitive materials and trusted correspondence. Additionally, this role will extend to office management for our staff, requiring a dynamic individual capable of multitasking and prioritizing in a fast-paced environment.
DUTIES & RESPONSIBILITIES:
Travel Management: Arrange, coordinate, and manage all travel logistics for the CEO, including flights, accommodations, and ground transportation. Act as a proactive problem solver to address and resolve any travel-related issues swiftly and efficiently.
Office Management: Oversee the daily operations of the office, ensuring smooth functionality. Responsibilities include managing office supplies, arranging executive meetings, and coordinating lunches and other necessary arrangements for the team.
Executive Support: Assist the CEO in staying organized and on top of all critical correspondence. This includes managing open items from portfolio company leaders, identifying follow-up items, and proactively drafting communications for review.
Communication: Organize and assist with the CEOs responses to customer inquiries, feedback, and issues, ensuring timely and appropriate communication. Draft and prepare correspondence on behalf of the CEO for review.
Portfolio Management Assistance: Keep abreast of developments within the portfolio companies, assisting in tracking key deliverables and ensuring the CEO is prepared for all meetings and engagements.
Work collaboratively with fellow Executive Assistants inside the portfolio of companies and assist as needed.
Industry Intelligence: proactively gather and provide CEO a weekly report on activity within the industry to keep abreast of new and breaking news / trends that impact decision making.
Assist with organizing and completing expense reports, and other administrative tasks as needed
EDUCATION, EXPERIENCE & REQUIREMENTS:
? Bachelors degree or equivalent experience.
? Proven experience as an Executive Assistant or similar role, preferably within a high-paced, dynamic environment
? Trusted individual with the ability to manage confidential information with discretion.
? Ability to meet deadlines. Must be comfortable prioritizing tasks, demonstrate flexibility, display a strong work ethic, fanatical attention to detail, and sense of urgency.
? Excellent written and verbal communication skills.
? Strong problem-solving skills and the ability to think proactively and anticipate the CEOs needs.
? Ability to prioritize and complete multiple projects simultaneously.
? A strong, decisive decision-maker.
? A people person with excellent interpersonal skills.
? Ability to effectively communicate with other C-level executives.
? Very strong knowledge of Microsoft Office (Word, Excel, and PowerPoint, Outlook)
? Ability to work without supervision; be a self-starter.
? Role is based at Flexjets Global headquarters in Cleveland, OH.
