About the Role

Finfare is seeking a highly motivated Office Manager to lead the charge in the headquarters office located in Irvine, CA. As a key member of the organization, the Office Manager will be responsible for all technical day-to-day office administration, supporting the CEO with his day-to-day operations, and being the first point of contact for our CEO. The Office Manager will help to ensure our employees are happy and be our CEO’s right hand supporting person. The Office Manager will work closely with our CEO, and will serve as the primary point of contact for the CEO’s business activities.

Responsibilities

  • Execute day-to-day administrative office operations for Finfare Inc., serving as the CEO’s right hand person in managing the day-to-day business critical operations.
  • Manage day-to-day administrative tasks such as answering phones, responding to emails, and handling correspondence.
  • Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
  • Address employee queries regarding office management issues (e.g., stationery, equipment, policies).
  • Assist in the recruitment process by scheduling interviews, coordinating with candidates, and maintaining applicant tracking systems.
  • Act as a liaison between employees and management, fostering a positive and collaborative work environment.
  • Collaborate with other administrative staff to streamline processes and improve office efficiency; Provide administrative support to various departments as needed.
  • Leverage local experience to find new vendors, building maintenance vendors, building repair vendors, and other service-related personnel.
  • Oversee day-to-day administrative operations to ensure employee needs are met, manage the CEO’s work schedule, and be the first point of contact for on-site visitors.
  • Support cross-functional business functions, including but not limited to onboarding, employee record maintenance, payroll, HR administrative tasks, etc.
  • Serve as a liaison between the CEO, employees, management, and US-based office for office and scheduling coordination.
  • Plan and execute company and vendor event planning for employees, business partners, and external parties,
  • Other duties as assigned.

Qualifications and Requirements 

  • Must be on-site 5 days a week.
  • Minimum of 5 years of office coordination experience, office administration/operations, and management experience.
  • Must have experience managing external property management (preferably with new building renovations).
  • Must have excellent communication and interpersonal skills
  • Experienced in setting up prior office facilities, identifying vendors, and running day-to-day operations for a brand new office location.
  • Strong problem-solving and analytical abilities, with the capacity to understand complex concepts and provide innovative solutions to challenges. 
  • Prior fintech experience or a partner bank experience is highly desirable.

Compensation

The compensation for this position is $50,000 - $65,000 (depending on experience).
