Family Services is Hiring a Program Assistant (Youth Services & SNUG) Near Poughkeepsie, NY

Title: Program Assistant (Youth Services & SNUG)

Rate: $17.00 per hour

Status: Full-time, Hourly, Non-exempt, 35 hours per week

Schedule:Monday 9am – 5pm (7 hours), Tuesday – Friday program coverage in TRAC working 4 – 8:30pm (4.5 hours/day, 18 hours total) with 10 flexible hours remaining Tuesdays – Fridays with an earlier start time. We are willing to work with the right candidate.

Supervisor:Director of Community Initiatives

Position Summary:

The Program Assistant provides administrative support to the Youth Services Teen Resource Activity Center (TRAC) and the SNUG teams. TRAC supports adolescents 11 – 18 years old. The SNUG team works to prevent gun violence in the city of Poughkeepsie. Both programs are based at the Family Partnership Center (FPC). The SNUG team works at the FPC, as well as community-based settings. The Program Assistant communicates in a pleasant, comfortable, and professional manner with clients and staff and provides administrative support to program staff and leadership.

Job Requirements and Competencies:

  • High School diploma or equivalent.
  • Strong secretarial, interpersonal, and organizational skills.
  • One year of related administrative or clerical experience preferred.
  • Strong customer service skills.
  • Excellent communication skills, both verbal and written.
  • Excellent attention to detail and strong organizational skills.
  • Strong computer skills including working knowledge of an email package and working knowledge of MS software programs: Word, Excel, Publisher.
  • Ability to take direction from either supervisor and/or co-workers based on the situation.
  • Ability to work in a team environment.
  • Ability to follow oral and written instructions and read and comprehend procedures and implement them effectively.
  • Bilingual is a plus.

Job Responsibilities:  

  • Perform data entry into various software programs and databases; compile statistics and trend data regarding program/clients, with accuracy and speed.
  • Assist TRAC staff in ensuring all youth are correctly and completely registered for the program activities, including contacting parents as needed.
  • Maintain a running awareness of reporting needs, data, and deadlines.
  • Compile data for reports and complete drafts for review.
  • Type correspondence, reports, statistical reports, grants for programs, with accuracy and speed.
  • Help create program promotional material such as flyers, registration forms, etc.
  • Use radio, copier, facsimile, computer, and other office equipment to accomplish assigned tasks.
  • Assist in preparation of materials for the TRAC and SNUG programs.
  • Maintain an inventory of supplies, order supplies, pickup and distribute supplies for the programs.
  • Assist with special events or projects as needed (some of these may be outside agency hours of operation but adequate notice will be provided).
  • Complete all administrative tasks as assigned on a timely basis, this includes, but is not limited to, documenting all activities, preparing weekly and monthly activity reports.
  • In partnership with the TRAC Coordinator, plan nightly dinner for TRAC youth and pick up and serve food to youth as needed.
  • Provide some hours of Direct Service for youth during programming hours at the Teen Resource Activity Center, including assisting with daily attendance sign in, monitoring youth while in program activities, and leading activities with the TRAC team as needed.
  • Attend TRAC Team meetings and take notes for distribution.
  • Attending meetings as assigned.
  • Other duties as assigned based upon the need of program. This list of activities is not meant to be all inclusive and does not preclude a supervisor from assigning activities not listed which could reasonably be expected to be performed by an employee in this title.

Work Environment – This position is housed in the Family Partnership Center in Poughkeepsie.
