General Descriptions of Duties:
Performs routine clerical, secretarial and administrative work including but not limited to answering phones, greeting clientele, assisting customers, receiving and receipting funds, computer data input and bookkeeping.
· Collect all fleet incident info and track on the Ernst Fleet Claims spreadsheet.
· Handle customer or citizen complaint calls reporting incidents and potential damage.
· Start claim files for each individual incident & save all documents pertaining to the incident in the file (ex - incident report, pics, video, police report, insurance documents, notes, and emails).
· Create an invoice and bill the “at fault party” for any repairs Ernst made to our equipment as well as any other losses Ernst has incurred as a result of the incident (ex- lost load of concrete, parts invoices, etc.).
· Submit “at fault” claims to (Insurance company for Ernst) and work with insurance Adjusters to ensure the claim is resolved.
· Work with Ernst Management on resolving any “at fault” claims that are handled “in house” with a check request and property damage waiver.
· Record all repair expenses and losses associated with each incident on the Fleet Claims spreadsheet.
· Document payments received for “not at fault” incidents on Fleet Claims spreadsheet.
· Request or track down police reports to add to our claim files.
· Track Driver violations received in personal vehicle as well as Commercial vehicle.
· Provide Driver safety history to Payroll/ HR for DOT Verification of Employment requests.
· Process monthly Insurance company invoice for Accounting and allocate claim payouts to the appropriate plant.
· Participate in quarterly Claim reviews with insurance agency and carrier.
· Send out quarterly fleet claims reports for each division to the GMs, Safety Manager, and Ernst Executives.
· Create annual Safety & Attendance bonus payout sheets for each division and send them to the GMs.
· Assist legal department on any type of fleet incident that becomes a lawsuit. The Safety Administrative Assistant (SAA) will also have to notify legal and work with them in resolving difficult claims- before they become lawsuits.
· Monitor Fleet Claims log for Drivers or employees with repetitive incidents within the past 1-2 years and notify management.
Qualifications:
· Associates degree preferred, High School Diploma or equivalent required.
· SAA Notes: Excel skills are a must.
· Time management and attention to detail is important.
· The SAA should have strong organization and communications skills and be able to consistently follow up on missing items & details.
· The SAA should be able to work well with customers, members of the community, insurance adjusters, as well as members of the Ernst Safety Team & Ernst Management.
