We are looking for a friendly and organized individual to join our team as our Office Assistant! As part of the team, you will be responsible forproviding essential administrative support to our office. You will be the go-to person for all kinds of tasks, from answering phones and filing paperwork to organizing meetings and helping with projects. You will be the face of the office, providing friendly and professional customer service to everyone who visits. With your excellent organizational skills and attention to detail, you'll help keep the office running smoothly. This will be an hourly position located in the Midland office M-F from 8AM-5PM.
Office Assistant responsibilities include:
Greet visitors and direct them to the appropriate person/department
Handle incoming phone calls and route them to the appropriate person/department
Manage the reception area by ensuring that it is organized, clean, and professional
Provide general office support such as copying, filing, and data entry
Coordinate customer service activities, such as responding to customer inquiries and requests
Schedule and confirm appointments and meetings
Monitor and order office supplies and equipment
Process incoming and outgoing mail
Manage the front desk area to ensure efficient operations
Assist with operational projects as needed
Provide support with onboarding new hires
Manage all maintenance requests for multiple buildings
Communicate all IT issues with
Perform administrative assistance to executive management team
Support the sales team with customer quote preparation when needed
Partner with Safety Team on filing projects
Cross Trained/Back Up for Internal Operations
Requirements:
Proven experience as an Office Assistant or Front Desk Administrator
Excellent communication and interpersonal skills
Ability to manage multiple projects in a fast-paced environment
Ability to multi-task and prioritize duties
Proficiency in Microsoft Office (Word, Excel, Outlook)
Knowledge of office equipment, such as computers, copiers, scanners, and fax machines
Detail-oriented and organized
Ability to take initiative and work independently
Ability to work with a team in a collaborative environment
Ability to handle confidential information with discretion
Experience with office management tasks such as scheduling, filing, data entry, etc.
