Dyersburg State Community College is Hiring an Administrative assistant Near Covington, LA

Duties and Responsibilities :

  • Provide support services to faculty and students.
  • Manage office technology, . copiers, fax machines, telephones, etc.
  • Assist with planning and completion of college stakeholder events and ceremonies.
  • Assist in creating and maintaining student file information including but not limited to student ID’s, Fisdap, immunization records, TCPS forms, state documents (.

psychomotor and National Registry), and background checks for the Division of Health Sciences.

  • Assist instructors with orientation schedules for each class.
  • Scan and archive student records as requested for Division of Health Sciences.
  • Maintain minutes of Division of Health Sciences and program within Health Sciences as assigned.
  • Maintaining confidentiality of reports, communication, correspondence, and records for the Division.
  • Maintaining file system to include personnel, financial, statistical, student information and other important records.
  • Completing forms for purchase orders, travel authorizations and claims, and monthly leave reports for faculty and staff.
  • Monitoring budgetary spending by verifying charges against the budget and reconciling accounts on a monthly basis, or as needed.
  • Maintaining adequate supplies for the Division, initiating orders when needed.
  • Answering telephone and giving information to callers and routing other calls to appropriate parties, screening requests on behalf of supervisor.
  • Receiving, directing, and assisting visitors; providing procedural information and answering inquires related to operational matters.
  • Reading and determining disposition of incoming mail; composing correspondence for routine inquires; preparing letters and packages for mailing.
  • Conducting research for supervisor; compiles, analyzes and summarizes information for reports and correspondence.
  • Ordering of instructional resources for both faculty and students, including various standardized testing.
  • Serving as liaison to other departments on various operational matters.
  • Assigning tasks to work study students.
  • Provide accurate information and pertinent forms relating to all Admissions Office and Business Office requirements in a timely manner.
  • Provide job related forms, including the key request, for new instructors and current faculty.
  • Assist with reserving classrooms and other room assignments.
  • Maintain office files that are pertinent to this position.
  • Assist instructors with orientation schedules.
  • Scan and archive student records for the Division of Health Sciences as assigned.
  • Responsible for maintaining / assisting with clinical contracts with facilities for the Division of Health Sciences.
  • Responsible for changes to the Division of Health Sciences webpages for updated applications and information.
  • Responsible for reviewing student applications, gathering all missing information, and process the applications as assigned.
  • Prepare spreadsheets of all applicants, noting various aspects pertaining to GPA, healthcare experience, and admission test scores for programs within the Division of Health Sciences as assigned.
  • Process letters of acceptance, alternate or denial for students who have applied for programs within the Division of Health Sciences as assigned.
  • Monitor criminal background checks for programs in the Division of Health Sciences as assigned.
  • Maintain the program cost sheet annually as assigned.
  • Preparation of FLAC contracts and paperwork for adjuncts and overload forms for faculty in the Division of Health Sciences as assigned.
  • Maintain supervisor’s calendar and schedule; making appointments, travel arrangements, conference registration and special events.
  • Typing of all reports, letters and records for the Division.
  • Answering telephones and giving information to callers and routing other calls to appropriate parties.
  • Perform other duties as assigned.

Working Conditions :

Sedentary : Deskwork; travel between Dyersburg Campus and Jimmy Naifeh campus to meet the Division’s needs; occasional travel may be required for college or program activities.

Normal range of movement required. Minimal Hazard / Exposure : Standard office settings. At least minimal environmental controls to assure health and comfort.

Must be able to lift 30 lbs.

Required Qualifications :

  • Ability to work and communicate effectively with individuals, students, and community stakeholders.
  • Excellent planning, organizational, customer service, and communication skills.
  • Ability to work independently and make decisions.
  • Ability to communicate well in oral and written English.
  • Qualities of integrity, initiative, and good judgment with high ethical standards.

Minimum Requirements of Education and Experience :

  • High school / GED graduate.
  • Minimum of three years clerical office experience with working knowledge of Microsoft Word, Excel and Outlook.

PREFERRED QUALIFICATIONS :

  • Associate Degree from a regionally accredited institution.
  • Experience working with Healthcare Individuals.
  • Working knowledge of Banner and Argos.

Minimum starting salary is $31,300 annually ($16.06 per hour). With additional experience pay increases to a maximum of $37,500.
