Job Title: Service Operations Coordinator
Reports To: Service Operations Manager
Department: Service (10), Non-Exempt
Location: Riverview, Atlanta or Albany
Summary of Primary Functions:
Dobbs Equipment is seeking a Service Operations Coordinator to perform a full range of administrative support duties for the Dobbs dealership Corporate Product Support Department. This position assists the Service Operations Department with corporate functions of parts & service, data collection, reporting.
Essential Functions and Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. (Other duties may be assigned)
- Handles phone calls/emails, advises the branches on the processes for the parts and service departments.
- Assists the Product Support Manager and Operation Manager in improving & establishing processes and policy for the parts and service departments.
- Assists in scheduling meetings and training sessions.
- Assists in compiling core metrics for Product Support Departments
- Assists in distribution of items to the proper locations/departments.
- Provide general assistance to operations – ordering business cards, researching AR, etc.
- Completing documents (AFE’s, Gov’t contracts)
- Provide Administration for Customer Portal – access requests.
- Communication of important events/milestones for awareness
- Work with all departments on incoming and outgoing information requests.
- Work with Sales & Accounting to ensure accruals are in the correct accounts with the correct stock numbers associated to them.
- Maintain TMR/PM hours for machines with maintenance / repair contracts or accruals.
- Invoicing for machines with TMR/PM/Deferred contracts. Maintain accurate records of all units with contracts.
- Aid / research for missing or incorrect funding of accounts.
- Operates various office machines such as, but not limited to calculators, copy equipment, computers, etc.

- General Administration experience
- Knowledge of Purchase Order use and application
- Avid problem solver
- Valid Driver’s License
- Customer Service experience
- Administrative Support experience
- Strong communication skills both verbally & written.
- Well developed organizational skills & attention to detail.
Education, Skill, and/or Experience Requirements:
- High school diploma or equivalent with two years’ experience heavy equipment industry or a combination of education or experience.
- PC literate, proficient with MS Office, with an emphasis in Excel and Outlook required.
- Familiarity with industrial equipment, such as construction or forestry equipment is beneficial.
- Ability to communicate effectively with teammates.
- Strong problem-solving skills.
- Excellent time management skills.
- Must be able to self-manage/self-motivate.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
- Ability to write diagnosis and work completed on routine reports and correspondence.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Valid driver’s license with a good driving record.
- Quick learner with the ability to think out of the box.
Work Environment:

While performing the duties of this job, the employee is occasionally exposed to wet and/or humid conditions, moving mechanical parts, and outside weather conditions. The noise level in the work environment is usually quiet.
