The Atlanta Opera is Hiring a Development Operations and Events Coordinator Near Atlanta, GA

Reports to: Managing Director – Development
FLSA Status: Exempt
Employment Status: Full-time

SUMMARY

The Development Operations & Events Coordinator (DOEC) will be responsible for managing development-related events & administrative functions of The Atlanta Opera. This position requires a creative, organized, and detail-oriented individual with a strong capacity for project management.

DUTIES & RESPONSIBILITIES
Position responsibilities include, but are not limited to the following duties, in addition to other duties as assigned.

ADMINISTRATIVE RESPONSIBILITES

  • Facilitate mailing of gift acknowledgement letters: printing the letters, distributing to gift officers for signature, tracking timely signing/outstanding letters, scanning into CRM, prepare for mailing.
  • Coordinate, schedule, and facilitate meetings: agenda, minutes, tracking assigned tasks.
  • Prepare ad hoc prospect research requests and briefing materials for fundraising team.
  • Liaise with executive and senior administrative assistants to handle requests and queries from leadership team.
  • Work with the Individual Giving team in fulfilling donor benefits.
  • Update Development Calendar.

EVENT MANAGEMENT RESPONSIBILITES

  • Serve as project manager for all donor benefit, cultivation, and stewardship events, including the Gala.
  • Manage the graphic design process for event-related collateral.
  • Prepare invitation lists and manage detailed RSVP lists, ensuring accurate information in coordination.
  • Coordinate vendors and rentals as needed.
  • Manage event check-in table and staff volunteers during event execution.
  • Archive event photos post-event.
  • Track events using the Opera’s Tessitura donor database.

COMPETENCIES & QUALIFICATIONS

  • Excellent written & oral communication and problem-solving skills.
  • Strong organizational skills and attention to detail.
  • Ability to meet deadlines and manage multiple projects simultaneously and efficiently.
  • Proficiency in Microsoft Office software required.
  • Strong Adobe Acrobat knowledge.
  • Knowledge of or strong interest in opera preferred.
  • Ability to work collaboratively with multiple departments.

MINIMUM REQUIREMENTS

  • The qualified candidate will have a bachelor’s degree and 1-2 years of related experience.
  • Be polished, professional and poised.
  • Expertise in Microsoft Office suite is required. Specifically advanced-level Excel proficiency, along with an aptitude for learning various databases.
  • Experience with the Tessitura database is a plus.
  • Night and weekends availability is required.
  • This position requires immaculate record-keeping and attention to detail, the ability to engage with high-level donors and corporate partners and a willingness to work as a team.
