Developmental Services is Hiring a HR Administrative Assistant Near Columbus, IN

PRIMARY FUNCTION:

Provide employment support to the Human Resources Department as well as to other departments within the agency. Perform clerical and office responsibilities. Assume responsibility for the order and completeness of the personnel files.

 ESSENTIAL FUNCTIONS:

  • Manage files for all current and former employees. Prepare files for scanning and electronically organize all documents. Maintain and organize the scanned folder on the departmental shared drive. File and maintain all EEOC and I-9 forms.
  • Direct calls and take messages for Human Resources staff. Respond to inquiries from supervisors and employees and appropriately direct them.
  • Assist applicants completing applications in-person or via phone. Answer any questions regarding job postings from applicants.
  • Conduct pre-screen interviews with applicants. Schedule all DSP interviews with the appropriate departmental supervisors. Assist with scheduling interviews for other departments as needed.
  • Complete file audits for new hire paperwork and ensure that all paperwork has been completed.
  • Assist Human Resources staff members. Witness employee interactions with HR staff members. Act as backup for general HR functions in the absence of the other HR staff members.
  • Respond to supervisor's questions regarding employees' documentation within the file.
  • Perform filing and clerical duties, including, but not limited to taking minutes at meetings and tracking purchase orders. Sort, file and shred out of date material. Organize and appropriately direct the mail and interoffice mail in Human Resources.
  •  Assist with annual open enrollment and other benefits related duties as needed.
  • Complete employment verification for current and former employees.
  • Coordinate all mass mailings to current or former employees. 
  • Create ID badges for new hires. 
  • Send 90-day and annual evaluation reminders to supervisors. Track and ensure that evaluations and documentation within employees' files are being completed in a timely manner. Scan performance evaluations into the departmental shared drive and upload into Provide.
  • Track agency Acknowledgement of Receipts.
  • Perform criminal background checks, as needed.
  • Assist with creating, organizing, and maintaining interdepartmental agreements. Answer employee questions regarding responsibilities, pay, or other issues regarding interdepartmental agreements.
  • QUALIFICATIONS:

  • High school diploma or GED is required.
  • Two years successful office experience preferred.
  • Ability to effectively operate equipment such as a scanner and copier and have a working knowledge of computers and related software (i.e. Microsoft Office)
  • Must possess excellent telephone skills.
  • Must have excellent oral and written communication skills and maintain confidentiality with sensitive information.
  • Maintain a valid Indiana driver's license, insurance on personal vehicle (minimum of PLPD with medical liability coverage), and maintain insurability as defined by the agency liability insurance carrier.
