SUMMARY:
The Service of Process Representative is responsible for processing Correspondence and legal documents sent from nationwide receiving offices. Processing these documents requires attention to detail and familiarity with legal terminology and documentation. This position is also responsible for the receipt and processing of mailed Correspondence and packages. This position is also responsible for the confirmation of delivery of processed legal documents to our clients. Interaction via phone and email with receiving offices, clients, law firms, governmental agencies (including law enforcement), and 3rd party delivery services is expected. This position operates on a strict time-table and can be considered both high volume and time sensitive.
ESSENTIAL FUNCTIONS:

• Discern which documents received by our company and/or receiving offices are to be considered proper, legal Service
of Process (SOP) based on state statutes and industry standards.
• Process all SOP documents using our proprietary website/software, providing delivery instructions to our receiving
offices, and forwarding scanned copies and/or originals to our clients.
• Track and ensure delivery of all SOP documents to clients through email, phone, and/or Federal Express tracking.
• Regularly communicate with receiving offices concerning SOP documents and/or Correspondence.
• Reject and return legal documents and/or Correspondence when appropriate.
• Answer client queries regarding SOP, Correspondence, and the account tools that interact with those documents.
• Receive and then sort all documents and packages mailed to our office(s).
• Deliver evidence received to the appropriate department and/or individual.
• Scan, upload, and process any and all state, federal, and otherwise legal Correspondence received on behalf of our
clients.
• Maintain consistent attendance and punctuality and a professional demeanor and appearance.
• Update and edit client accounts when necessary.
• Create and maintain reference charts for tracking SOP issues.
• Develop, maintain and update knowledge about the department, services, company and industry as a whole.
• Contact issuing attorneys, government agencies, process servers, and/or courts to resolve issues regarding our clients
and SOP matters.
• Assist other sections of the Registered Agent Department as necessary, including basic cross-training.
• Other duties as assigned.
COMPETENCIES, SKILLS AND ABILITIES
• Must be very detail oriented with strong organizational skills.
• Ability to carefully read and interpret state and legal documents.
• Must be computer literate; intermediate level skills with the MS Office Suite and Adobe Acrobat are required.
• Ability to work in a time-sensitive environment with a large workflow.
• Ability to work both independently and in a team environment. Assisting coworkers by sharing information and
knowledge
• Ability to be self-directed and work efficiently with minimal supervision.
• Ability to be creative in identifying ways of increasing efficiency and simplifying processes.
• Effective communication (verbal and written) and relationship-building skills.
EDUCATION / EXPERIENCE
• Associate’s degree and/or 2 years equivalent experience in a related field is preferred.
• Experience with basic legal or document preparation and editing procedures, and/or willingness to learn.
SUPERVISORY RESPONSIBILITIES:
The Service of Process Representative has no supervisory responsibilities.

Ability to effectively present information and respond to questions from internal and external customers whose first language is English.
